JOB/POSITION TITLE : Volunteer Services Manager STATUS: Exempt PRIMARY PURPOSE : The Volunteer Services Manager will oversee the recruitment and retention of Hawaiian Humane Society volunteers and develop volunteer programming to meet and anticipate the needs and goals of the organization . Key functions of the position include implementing volunteer recruitment campaigns and retention programs to ensure a positive volunteer experience, collaborating with internal staff leads, departments and community organizations. This role will develop new opportunities and address performance support issues with volunteers and staff leaders. Reports To : Senior Manager of Volunteer Experience Supervises : Volunteer Services team and volunteers ESSENTIAL DUTIES/FUNCTIONS : People Care. Leading by example, ensuring internal and external patrons (employees, volunteers, Hawaiian Humane partners and community members) and their needs are a primary focus. Communication and contact must be clear, understandable, cooperative, professional and respectful in all circumstances and will occur through face to face, telephone, and electronic mail. Employees are expected to actively support a positive team environment, directly address conflict with the goal of problem solving and appropriately express concerns. This position interacts with and collaborates with employees and volunteers at all levels of the organization. Responsible for resolving issues that volunteers may encounter. Works directly with the volunteer and staff member(s) to determine the cause of the issue and resolve the situation. Sets expectations of policies and best practices for staff and volunteers and follows up with volunteers and staff regarding any previous issues. Customer Care. Deliver high-level customer service to Hawaiian Humane community members via Volunteer Services including recruitment, training, follow up support, and needs related to department assigned volunteers. Communicate with a diverse group of people in a consistently compassionate, informative, respectful and professional manner. Manage emotionally difficult situations with strong communication skills and empathy. Team Leadership. Lead and oversee day-to-day team member activities and leadership including but not limited to hiring, training, coaching, development and retention to assure the highest standard of performance and professionalism. Responsible for maintaining regular cadence of employee conversations through 1:1's, huddles, team meetings and performance evaluations. Manages and develops an effective team: providing effective communication, leadership, guidance and resources, providing clear direction and priorities. Motivate and mobilize team members to act, removing obstacles, and coordinating work efforts when necessary. Manage daily operations by providing leadership and development to the staff and integrating volunteers. Ensure that roles and responsibilities are understood and carried out. Volunteer Recruitment & Retention. Responsible for expanding the number and variety of volunteers with increased length in service through relationship building and ensuring quality training and supervision. Develops an annual recruitment program that includes outreach to civic, business and other groups. Responds to inquiries about volunteer opportunities. Develops and implements on-going recognition and enrichment activities for volunteers that may include educational events, large-scale events and organization/department-level appreciation. Orientation & Onboarding . Responsible for each volunteer's orientation to Hawaiian Humane including introduction to the organization, general orientation, coordination of specialized training, and facilitation of ongoing training as needed. Matches volunteer interests and skills with the best available volunteer opportunity. Partners with department supervisors for recruitment of volunteer trainings, monitoring class counts and strives to maximize attendance. Program Development & Maintenance. Stays abreast of specific skills and needs of each department and works with department supervisors to develop and maintain volunteer opportunities that best meet their needs. Works with volunteer supervisors to develop thorough trainings that adhere to volunteer program guidelines. Researches and shares best practices and stays abreast of volunteer trends. Serves as an advocate for volunteers and the organization by analyzing and evaluating all aspects of the volunteer program and recommends improvements to the organization and individual department supervisors. Budgeting & Reporting. Prepares monthly statistical reports including tracking of volunteer hours, and additional reports as needed. Includes managing and analyzing volunteer data. Maintains a database of volunteers (i.e. schedules, hours, contact info including email addresses). Manage utilization of department resources to maximize the value, control expenses and minimize waste. Organizational Support. Participate in and lead meetings, sharing and implementing program, process and organizational improvements. Participate in inter-departmental meetings and discussions to support and develop initiatives. Collaborate with colleagues to balance competing priorities, create organizational alignment, support strategic planning, execute upon organizational initiatives, and ensure alignment with core values, vision and mission. Trains staff on best practices of volunteer management including effective utilization, training and retention of volunteers. Coordination and consultation with key Hawaiian Humane staff to create proper onboarding protocol per department. Professional Development. Expands knowledge pertinent to the role by seeking professional development opportunities regarding trends and best practices in the volunteer program management field including development and training of staff volunteer leaders . OTHER DUTIES/FUNCTIONS: Operations Support. Works with other departments within the organization to resolve issues of mutual concern and improve operations. Other Duties as Assigned. May include organization-wide support as needed, including but not limited to participation in events, serving as spokesperson, fundraising, covering other operational departments, and Hawaiian Humane's role as a first responder to disasters. JOB CONDITIONS: Work Environment : Indoors and outdoors as needed Equipment Use : Computer, database, and telephone systems. Occasional use of Hawaiian Humane Vehicles. Hours : Based on operational requirements. Shift times are scheduled to support organizational needs and may include evenings, weekends and holidays. MENTAL, PHYSICAL & COMMUNICATION DEMANDS: Must agree with and be committed to Hawaiian Humane goals, objectives, and programs. Must have strong mediation skills and exercise compassion, patience and tact when dealing with difficult, emotional or angry people. Requires handling people and animals in a pleasant, courteous and professional manner. Must have excellent people management skills, have a good rapport with members of the internal and external community. Ability to lead individuals of all ages and be sensitive to the needs of teenagers, the elderly, and people with disabilities. Must maintain and present personal conduct, personal appearance, and office space as a professional. Includes well-groomed and professional appearance and tidy office areas. Requires ability to work independently and prioritize multiple tasks. Must be detail-oriented with excellent organizational and analytical skills. Requires occasional lifting and carrying at least 30 pounds with or without reasonable accommodation. Requires excellent communication skills both verbally and written, when giving presentations, interviews, training and supervision. QUALIFICATION REQUIREMENTS : Skills/Knowledge : Must possess strong computer skills including orientation around database programs, Microsoft Office programs: Outlook, Teams, Excel, Power Point, Word and experience using creative programs such as Canva. Education/Training : University or College degree preferred, or equivalent experience required. Experience : Minimum two years of professional experience as a leader of people required. Volunteer management experience in fast-paced environment, animal shelter, or other relevant experience overseeing staff preferred.
