Overview Pharmaceutical Research and Manufacturers of America (PhRMA) is seeking a full-time, Senior Manager, Meetings and Events to provide support to PhRMA meetings functions. The Sr. Manager is responsible for: Manage PhRMA travel program to include: Point of contact for WorldTravel Oversee and manage all contracts with travel partners: United, Enterprise, American Airlines and Southwest Liaison between PhRMA employees and Travel Agency Act as emergency contact for PhRMA employees while actively traveling Work closely with PhRMA's accounting team on travel-related expenses Work closely with the Senior Administrator to oversee the in-house catering program which includes SOPs, communication, and coordination with PhRMA staff, ordering food, sourcing and managing caterers and vendors. Reconciliation of the Meetings AmEx and catering invoices. Create reports in Tripleseat related to meetings and events. Liaise with meetings consultants and Director to assist with new vendor set-up, processing and payment of all meetings invoices. Assist with event sourcing and logistics for dinners, happy hours, off-site meetings and retreats and All Staff Meetings and events. Assist with contract management for hotels, venues, and vendors. Assist with CEO/Management Committee level meetings and events, Board of Directors Meetings, and Annual Planning Meeting (APM). Travel for Offsite meetings as needed. Manage all fundraisers (communications, pre and onsite logistics) and board transportation. Perform other duties as assigned. The preferred candidate will bring substantive communication expertise and be an organized, detail-oriented, self-starter with excellent writing skills and the ability to convey content in an audience-appropriate and compelling manner. Demonstrated consensus building, decision-making and interpersonal skills are essential. This is a highly visible, fast-paced position that is both internally and externally facing. Accordingly, the successful candidate should be adaptable, able to reprioritize and shift gears quickly, comfortable in a high-pressure environment and be politically savvy, diplomatic, responsive, and mature. Professional Experience / Requirements Bachelor's Degree or higher. A minimum of 7+ years of combined experience in hospitality. Ability to come into the office on remote days (Mondays and Fridays) for events as needed. Excellent interpersonal skills, relationship-building skills, and professional presence. Experience using Tripleseat event management software. Excellent computer skills, particularly experience with MS Outlook and Office. Ability to maintain strict confidentiality in extremely sensitive situations. Excellent organizational skills. Ability to multi-task, juggling sometimes numerous demands simultaneously. Customer service and detail-oriented. Potential Salary $92,100 - $120, 270 per annum. Salary is commensurate with experience and other compensable factors.
