PURPOSE: Under the general supervision of the Specialty Courts Administrator & Program Supervisor, the Program Assistant is responsible for providing administrative services for the Specialty Courts Department. The ideal candidate has excellent organizational skills, a strong attention to detail and the ability to communicate effectively in both written and verbal communications. ABILITIES, KNOWLEDGE, AND SKILLS: Possess and maintain a valid driver’s license with satisfactory driving record, vehicle registration, and access to dependable transportation. Pass drug testing and criminal record check. Must possess excellent oral and written communication skills, advanced organizational skills, and exceptional interpersonal and problem-solving skills. Must possess intermediate to advanced computer skills including applications such as MS Office and Adobe. Ability to communicate effectively and work well in a team setting. PRINCIPLE DUTIES AND RESPONSIBILITIES: The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. Responsible for administrative tasks, coordinating staff meetings, maintaining department inventory supply, and other projects as assigned. Build out and maintain processes to keep files and office supplies organized and easily accessible. Facilitate executive-level operations - Book travel, submit expense reports and send communications for high-level staff as needed. Conduct and monitor substance abuse testing as needed. Maintain a variety of excel spreadsheets for program reference and data collection. Complete data entry in the Drug Court Case Management Information System, ToxAccess and other systems. Prepare reports, attend and testify at court hearings regarding program violations if requested. Work collaboratively with MDOC, court staff, and other agencies. Maintain confidentiality while working with sensitive information. Assists in organizing graduation ceremonies and alumni events. Attends statewide and national conferences and presents at conferences, as required. Participates and trains in ongoing diversity, equity, inclusion and cultural awareness training, and promotes these values within the Specialty Courts team. May be assigned to work in any court location, as needed. Occasionally may be required to work flexible hours which could include early mornings or evenings. Perform other tasks as assigned. REQUIREMENTS : High school diploma/GED required. 2 years' experience as an administrative assistant, secretary or receptionist. Strong organizational, communication, and time-management skills Proven ability to work in a fast-paced environment. Resourcefulness, creativity, and problem-solving skill set. Familiarity with office equipment (i.e. printers, fax machines, projectors) Proficiency in Microsoft Office and Adobe PHYSICAL REQUIREMENTS AND/OR WORKING CONDITIONS: Work is performed primarily in an office environment. Tasks involve those normally associated with an office environment. SUPERVISION: Work is performed under the general direction of the Specialty Courts Administrator. OTHER REQUIREMENTS: Employment is dependent on background check, criminal history and fingerprint check, and drug screen. Applicants must complete County application form. OTHER REQUIREMENTS: Van Buren County Courts are dynamic and candidates for this position must be able to adapt and thrive in a changing environment. One must be able to work with people who are operating in financially and emotionally stressful situations and must display appropriate decorum and professionalism with both attorneys and with non-lawyer litigants. Must be able to maintain a record of orderly, law-abiding citizenship, sobriety, and integrity. Must adhere to the Model Code of Conduct for Michigan Trial Court Employees. The individual in this position is an at-will employee and serves at the pleasure of the Chief Judge.
