UA-ARC will extend UArizona's focus on teaching and learning, research and discovery, and outreach and engagement in service to the state of Arizona, the nation, and the world community. UA-ARC operates to identify and coordinate defense and security research opportunities and to facilitate UArizona faculty and research teams to obtain new sources of funding through interdisciplinary collaborations and public and private partnerships. Position Summary The University of Arizona Applied Research Corporation (UA-ARC) seeks a Project Coordinator I to join our team in located in Tucson, AZ. The Project Coordinator I will report directly to a senior staff member of the UA-ARC. Overall responsibilities include: Duties & Responsibilities Coordinates the UA-ARC National Security Scholars (Scholars) and Defense Civilian Training Corps (DCTC) programs with relevant academic departments at the University of Arizona (UArizona), multiple Department of Defense (DoD) agencies and/or installations and interested industry partners. Assist with the execution of the UA-ARC and UArizona security programs as part of the UA-ARC security team. Plans, organizes, coordinates, and controls procedures for background investigations processing and biometric fingerprinting of student participants for security clearances as part of their participation in the Scholars and DCTC programs, and works with UA-ARC security staff to ensure participants complete all required training, reporting and other compliance actions that are necessary for maintaining their security clearances. Identifies and manages access requirements to UA-ARC, UArizona, US Government and industry facilities and activities to support the participation of Scholar and DCTC program students. Coordinates the access of program visitors, mentors, instructors, and program sponsors with UA-ARC and UArizona security staff. Assist with the creation and execution of annual budgets for personnel security management while monitoring routine project expenses. Manages program application process, including opening the online application, disseminating information, answering applicant questions, and assisting with applicant review and final selection. Plans and coordinates research facility training, hands-on activities, transportation, and tour logistics for Scholars and DCTC participants. Assist in the development and execution of a Scholars and DCTC mentorship program that connects qualified UA-ARC team members, local military installation staffers, and DoD Civilians to expand the skills and experiences of the participants. Works closely with UArizona academic departments on scheduling of courses, listing correct dates, sharing partners academic calendar and meeting times. Works closely with the University of Arizona Registrar's Office to confirm Scholars and DCTC course sections are accurate. Completes internal course enrollment and audits to ensure complete and accurate enrollment processing. Creates, maintains, and runs weekly, biweekly, and/or monthly reports on enrollment numbers, security clearance status and other reporting requirements in support of the programs. Collaborates with UArizona to develop and implement relevant timelines, policies, and procedures related to enrollment management. Works creatively to develop system and procedural solutions in collaboration with other units at the University of Arizona. Attend all Scholars and DCTC program directed meetings. Plans and serves on Scholars and DCTC program recruiting teams, panels, and activities as required. Attend conferences, training sessions, and workshops as appropriate. Attend staff team meetings to provide staff updates for the Scholars and DCTC programs. Assists with the compliance of Federal Acquisition Regulations (FAR) / Defense Federal Acquisition Regulation Supplement (DFARS) requirements. Assists UA-ARC and UArizona in interfacing with Department of Defense and industry contracting representatives and technical staff as required. Assists with monitoring program performance for compliance, delivery schedules, payment provisions, inspections, contract, and date reporting requirements. May supervise student worker(s). Other duties as assigned. Knowledge, Skills, & Abilities Ability to access and utilize a cloud-based software capability for personnel security, suitability, and credentialing management of DoD civilians, and contractors Demonstrated ability to work effectively both as a member of a team and independently Ability to produce quality work under deadline pressure Excellent project facilitation, organization, and planning skills with demonstrated flexibility and the ability to prioritize multiple tasks/projects while meeting deadlines Proficiency in using computer software such as Word, PowerPoint, Excel, etc. Proficiency in using a cloud-based Customer Relationship Management platform such as Unanet Has good written and verbal command of the English language Effectively communicates in a courteous, professional, and tactful manner by e-mail, telephone and in person with co-workers, management, clients, government contracting officers, and others Responds to inquiries in a thorough and timely manner Excellent interpersonal skills, such as working well with others and motivating people Uses clear, succinct, and informative communications (verbal and written) with co-workers, management, clients, and others in favorable or unfavorable situations Qualifications Bachelor's degree plus three (3) years of related experience; OR any equivalent combination of experience and education from which comparable knowledge, skills and abilities have been achieved. Applicant must be a U.S. citizen and hold a U.S. Government security clearance at the level of Secret. Top Secret is preferred. In-depth experience working with DoD Civilians, military personnel, and DoD agencies. Experience working with faculty members and academic departments. What We Offer.
