COEH is based at the University of California Berkeley, with additional programs at the University of California San Francisco and the University of California Davis. The Center promotes health and safety in workplaces and communities by educating health professionals, developing new knowledge through an interdisciplinary research agenda focused on preventing illness and injury and responding to the needs of people affected by hazards in their workplaces and communities.Through these activities, COEH supports federal, state, and local agencies, health and safety professionals, industry, labor, and community-based organizations in their efforts to prevent occupational and environmental disease and injury. The Center also aims to provide an educational bridge from the University to external constituencies to ensure that practicing professionals, workers, their representatives, supervisors, and other educators benefit from the University's occupational health and safety expertise.COEH is part of Berkeley Public Health (BPH) which aims to improve population health, especially for the most vulnerable, through interdisciplinary collaborations, preeminent education, and transformational research. Learn more at: Application Review DateThe First Review Date for this job is: December 13, 2023ResponsibilitiesSupports program to gather information and support program objectives.Cross trains with student services staff to coordinate onboarding for internship, will serve as back-up to student services staff to manage federally awarded COEH graduate trainees and residents as needed.Prepares preliminary analyses of laws, policies, procedures, and other subjects to contribute to organizational programs, research proposals, and other documentation.Under supervision, prepares and drafts correspondences for mass mailings, newsletters, letters, etc., and responds and redirects routine correspondence from COEH's main email address to appropriate parties.Learns to determine and locate sources for the collection of information and participates in the development and implementation of efficient and effective systems for managing information, projects and communications to ensure accurate and timely responses.Learns to maintain calendars for all COEH and NIOSH/CDC specific events, meetings, and deadlines.Learns to manage distribution and collection of inputs, outputs, and opportunities for COEH trainees and faculty, as well as COEH Stakeholders and community representatives.Assists with program planning and collaboration with program/project staff.Assists with COEH website update requests, learns to assess priority levels, and creates reports for COEH leadership approval of website modifications. Assists STEER Coordinator with reading and scoring internship applications.Learns to prepare reports and summarize information available on the assigned issues and identifies other matters of significance.Maintains the COEH Director's filing system; establishing and maintaining files and records using standardized naming conventions.Participates in workshops, training and other professional development opportunities.Other duties, as assigned, such as backup for events coordinator when needed for COEH in-person events.Required QualificationsWorking knowledge of administrative procedures and processes including word processing, spreadsheets, database applications, and design/layout applications.Skills to learn organization-specific and other computer applications programs, i.e., Canvas, and Asana.Excellent written and verbal communication skills - emphasizes accurate spelling, grammar, and punctuation.Basic communication and interpersonal skills to communicate effectively, both verbally and in writing. Demonstrated strong organizational skills with the ability to prioritize assignments.Basic program and project management skills.Acquiring knowledge of applicable policy analysis techniques.Comfortable interacting and communicating with the public, faculty, and various COEH stakeholders, staff, students, alumni, donors, and community partners.Comfort with interacting with persons of various social, cultural, economic and educational backgrounds.Excellent interpersonal and active listening skills; strong attention to detail.Basic skills to analyze and research information and learn to synthesize large amounts of data with strong attention to detail.Education/Training:Bachelor's degree in related area and / or equivalent experience / training.Preferred QualificationsStrong skills with Microsoft office Suite (Word, Excel, Outlook and PowerPoint) and Google Suite (Google sheets, Google docs, Google drive), Adobe Acrobat.Demonstrated high-level communication skills to convey information in a clear and concise manner, synthesizing information and presenting it to others.Salary & BenefitsFor information on the comprehensive benefits package offered by the University, please visit the University of California's Compensation & Benefits website.Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position.
