JOIN OUR COMMUNITY The University of St. Thomas offers a competitive and comprehensive benefits program, which includes: Up to 100% tuition remission for employees, spouses, and dependents upon eligibility A generous Employer retirement contribution of 9.4% of annual salary upon eligibility Medical, dental, and vision options Employer-paid disability, life, and AD&D benefits JOB SUMMARY The Program Manager, e-Fest and Schulze School Competitions, will be in charge of program development and delivery for the national e-Fest event and Schulze Entrepreneurship Challenge, hosted at St. Thomas each year in April, and will support the delivery of other Schulze School workshops and competitions that prepare St. Thomas students to participate in e-Fest. e-Fest is a national competition that brings to St. Thomas 25 undergraduate teams from universities around the country for three days of competitions, development workshops, mentoring and networking. Success in the position requires building relationships with other university centers, institutes and individuals, community partners and business leaders, and supervising part-time staff and/or student workers. The Program Manager is to work closely with and receive general guidance and support from the Associate Dean and Senior Director of the Schulze School of Entrepreneurship and serve as primary liaison with our e-Fest partners at the Entrepreneurship and Innovation Exchange (EIX) that serve as co-sponsors of the event. ESSENTIAL FUNCTIONS 1. Organization and delivery of e-Fest activities, and other Schulze School workshops and competitions that support St. Thomas students Running weekly team meetings October through May. Conduct strategic outreach with potential internal and external program partners Planning and overseeing all programming, communication and marketing with regard to the event. Ensure project plan is on time and on budget Reserving and preparing a diversity of spaces for the range of events – ensuring that all lights, technology and materials are provided based on unique needs of the event (auditorium, finals rooms, media satellite tour rooms and facilities, dining spaces, team practice spaces, Innovation challenge team breakout and presentation spaces, advisor events, developmental workshop spaces) Menu planning and catering for diversity of events Managing all hotel accommodations Liaising with all key internal stakeholders: Technology Services, Facilities and Maintenance, Security, Development, President's and Dean's offices Overseeing St. Thomas Marketing, Insights and Communication team in developing and implementing the PR plan – advance media, satellite media tour, follow-up public relations outreach. Managing all communication with students to prepare them and facilitate day-of logistics. Arranging photography/videography Finalist and championship round judge selection, recruitment and communications – working with faculty, Alumni Services, and Development office, Dean and President's office to identify appropriate candidates for on-site judging; doing outreach to recruit judges; provide advance and day-of communications and information materials. Managing production of multiple marketing and informational pieces – event program; judge information packets/rubrics; student information packets (schedule, maps, visitor information, all contact information, sample judging rubric etc.); backpacks/swag for students and advisors; awards. Managing all compliance issues – RFPs, event permissions/licenses,W-9 and I-9 forms; identification of health and food allergy issues of participants. Planning all logistics for day of events: script development, approval and dissemination; team/judge/room assignments; staging and photo shot list; personnel needs and assignments; risk management and back up planning; materials planning and procurement. Room set up and technology; walk throughs, sound and technology checks prior day Team training and preparation Team management day of event: check in stations, greeter/assistance stations; room managers; team and participant "handlers," student and judge concierges. Follow up communications to students, advisor and judges. Engraving and shipping of awards. Debriefing and continuous improvement planning for next year. Organize periodic surveys and focus groups with students, faculty, community and industry leaders to identify areas of interest and strategies for maintaining continuous engagement with diverse stakeholders. Plan, organize, and implement all activities related to the Schulze Competitions including: classroom presentations; promotional activities; cross-campus communications and marketing; procurement of promotional materials; involvement of faculty, staff and involvement of social entrepreneurs; delivery of workshops; management of application and judging process; delivery of high quality on-campus competition events Assist the Senior Director of the Schulze School of Entrepreneurship with ad hoc projects, activities that support success of the competitions Benchmark with similar initiatives in Universities in the United States and abroad. 2. Liaise with EIX Serve as primary point of contact to our partner EIX. In conjunction with the Associate Dean and Senior Director of the Schulze School, collaborate and align strategies to grow and scale e-Fest and create measurements and metrics for evaluation. 3. Administration Develop and maintain budgets for the various activities of e-Fest Collaborate with EIX on annual report for e-Fest Competitions Maintain accurate records and accounting systems Know the university accounting system and procedures and work as a liaison with other university departments Work with OCB finance to manage accounts receivable and payable Reconcile credit card and other monthly expense reports QUALIFICATIONS Minimum Qualifications: Bachelor's degree in a relevant field Three years of program or office management experience An equivalent combination of education and experience from which comparable knowledge and skills have been acquired may be substituted. *This is a limited term position and is expected to run for one year, depending on business needs. The position may be eligible for renewal after the one year term.* Preferred Qualifications: Post-graduate degree (completed or in-progress) and a minimum of three years recent business or academic environment work experience preferred Experience in higher education and development preferred with knowledge of corporate social responsibility and social enterprise Experience in organizing events strongly preferred *Please note: The University of St. Thomas will be closed from December 23, 2019 through January 1, 2020.
