Requisition No: 829261 Agency: Department of Health Working Title: OPS GOVERNMENT ANALYST I - 64802148 Pay Plan: Temp Position Number: 64802148 Salary: $24.00 / Hour Posting Closing Date: 06/17/2024 Total Compensation Estimator Tool Florida Department of Health Division of Medical Quality Assurance Strategy Coordinator (Full-Time OPS) Open Competitive Opportunity **This requisition may be used to fill multiple positions within the Bureau and drawn from to fill vacancies as they occur** Your Specific Responsibilities: This position is a highly independent and professional role located on the Strategic Planning Services (SPS) team within the Division Director’s Office. As a Strategy Coordinator within the Division of Medical Quality Assurance (MQA), you are responsible for planning, delivering, tracking, and reporting on strategic activities to ensure MQA teams meet its regulatory efficiency and public protection goals efficiently and effectively. This position will also contribute to statewide initiatives for health care applicants, practitioners, and consumers and promote information-sharing throughout MQA by participating in workgroups, recording best practices, and developing communication and training material. MQA regulates health care practitioners and facilities through professional licensure, facility permitting, and administrative enforcement in order to preserve the health, safety, and welfare of the public. The ideal candidate for this role will have a project management approach to their work, excellent communication and analytical skills, and the ability to toggle between big picture ideas, grounded work, and administrative responsibilities. The successful candidate will be able to take a big idea, translate it into actionable plans, and illustrate the organizational/customer impact of the work while building agendas and serving as a hub for administrative and coordination work. Duties and Responsibilities: Develop, monitor, and report on project work plans, coordinate complex cross-functional activities, and administer surveys. Document processes and establish appropriate procedures, protocols, and tools (i.e., creating standard operating procedures, inventory and quality checklists, process maps, templates, worksheets, and other references). Evaluate, make recommendations, standardize, and improve licensure, enforcement, and information processes and procedures using best practices like Rapid Process Improvement or Lean Six Sigma. Organize multidisciplinary workgroup meetings, host trainings and workshops, and prepare associated materials, including drafting invitations, confirming attendance, reserving conference spaces, operating audiovisual equipment, ordering supplies, distributing materials, recording and delegating tasks, collecting evaluations, distributing minutes, and monitoring completion of action steps. Develop and maintain an intake request process to capture incoming project requests, define scope, gather requirements, and streamline the prioritization, notification, and approval process. Create and maintain an MQA centralized calendar by serving as a SharePoint administrator to promote and maintain MQA’s calendar of events. Develop and maintain monthly initiative reporting, including quarterly and annual strategic performance database reporting. Research industry trends and write executive briefs as needed. Prepare error-free notebooks for the Executive Management Team, State Surgeon General, Chief of Staff, and Executive Office of the Governor as needed. Support quality improvement, communications, and change management activities as needed. Support legislative coordination activities as needed. Coordinate resource sharing across multiple bureaus and offices in strategic planning efforts as needed. Knowledge, Skills, and Abilities: Understanding of strategic planning principles, business administration techniques, total quality improvement, and/or project management. Proficiency in planning, executing, and overseeing projects to ensure they align with strategic goals. Strong verbal and written communication skills to convey approaches, present plans, and collaborate with stakeholders. Ability to identify problems, synthesize information to inform decisions, generate solutions, and make sound decisions. Understanding of the dynamics of cross-functional teams. Ability to adapt to change while simultaneously maintaining focus on objectives and envisioning the bigger picture. Ability to manage and prioritize multiple projects and activities in a fast-paced regulatory environment. Ability to not only work collaboratively but motivate and influence others in a positive manner. Strong ability to build relationships and work effectively with various teams and stakeholders. Excellent organizational and multitasking abilities to manage multiple projects and deadlines. Skilled in public speaking. Skilled in gathering and interpreting data. Qualifications: Preference will be given to those who meet the following minimum requirements: Bachelor’s degree in business administration, management, marketing, sociology, or a related field. 2 years of experience in strategy, business development, project management, or a related field. Educational experience may be substituted with certifications or coursework in project management, Lean Six Sigma, total quality improvement, or strategic planning.
