ABOUT VISIT GALVESTON AND THE PARK BOARD OF TRUSTEESIn 1963, the citizens of Galveston voted to create a specialized unit of government called the Park Board of Trustees of the City of Galveston. The organization is responsible for overseeing Galveston's tourism efforts, Galveston Island Beach Patrol (GIPB) and Coastal Zone Management (CZM). The Park Board is funded primarily through Hotel Occupancy Tax (HOT) and beach user fees for the six parks that they manage. Tourism pays for tourism as no sales or property tax is collected by the Park Board. The nine-member board is comprised of volunteer residents with diverse business backgrounds. Each is required to serve at least two years and must also serve on one of the Park Board's advisory committees.We are on a mission to promote and support tourism on Galveston Island in order to foster an environment that establishes a great place to live, work, and visit. A DAY IN THE LIFE OF AN OFFICE COORDINATOR In this administrative position, you play a key role in providing support to the Visit Galveston team. You perform a variety of clerical tasks, including drafting letters, memos, invoices, reports, and other documents. Using your excellent organizational skills, you help schedule events such as meetings, travel, training, and activities for all members of the departments. For committee meetings, you gather required materials, create and post agendas, and distribute meeting packets by required dates. You take minutes during meetings and produce follow-up documents as needed.You provide accounting support to the team as you complete the monthly credit card reconciliation for staff. You help with inventory control and ordering supplies as well as identify opportunities for cost savings. Through communication with payroll, you maintain timekeeping records for your department and reconcile any leave benefit requests.You coordinate and process various accreditation submissions, facilitate CRM training for staff, work with lodging partners on CRM lead process, and serve as the primary contact for general department calls, as well as calls originating from the website and collateral.You maintain and update paper and electronic filing systems within your department. When appropriate, you give recommendations for and implement policy or process changes. You maintain standard operating procedures (SOPs) and update them as needed. As necessary, you complete assigned special projects and maintain a working knowledge of all administrative and department-specific software. QUALIFICATIONS FOR AN OFFICE COORDINATOR High school diploma or equivalent 3+ years of experience in administrative services Holds a valid class C driver's license Experience with accounting and payroll software Proficiency with Microsoft Office, including Word, Excel, and PowerPoint Strong customer service skills Excellent computer skills Do you have excellent verbal and written communication skills?
