ESSENTIAL DUTIES AND RESPONSIBILITIES As an Office Administrator, you will play a crucial role in ensuring the smooth and efficient operations of our office. Your responsibilities will encompass both administrative support and office management duties. This is an in-office position. Opportunity for advancement. Administrative Support Provide comprehensive administrative support to ensure efficient office operations. Answer phone calls, address inquiries, and direct callers to appropriate personnel. Assist with password resets, employee portal access, and other IT-related inquiries. Maintain physical and digital filing systems, ensuring easy retrieval of documents. Respond to emails and digital correspondence promptly and professionally. Input and update information in databases and spreadsheets accurately. Utilize word processing and presentation software to create and edit documents. Assist with workers’ compensation functions, including issuing certificates and creating provider maps. Respond to multi-state unemployment claims and maintain multiple unemployment accounts. Manage multi-state employment poster distribution program. Administer learning management system. Office Management Receive and sign for incoming packages, and assist clients and visitors as needed. Coordinate meeting planning, including room setup and catering for events. Operate and maintain office equipment, including printers, copiers, and fax machines. Coordinate with outside vendors to ensure office equipment is in good working order. Manage incoming and outgoing mail, including postage. Maintain the office phone system, including user management and voicemail recording. Coordinate with building management for building maintenance and disaster procedures. Order office and kitchen supplies, check stock, and manage inventory. Monitor all working area conditions and equipment to ensure they are within company standards for cleanliness, proper maintenance, and safety. QUALIFICATIONS Associate degree or combination of education and relevant experience. Proven experience in administrative support or office coordination roles. Proficiency in Microsoft Office Suite and other relevant software. Excellent communication and interpersonal skills. Ability to handle sensitive information with discretion and maintain confidentiality. Strong organizational and time management skills. Attention to detail and accuracy.
