Location: On-Site, St. Charles Hours: Full-time, 40 hours per week Are you looking for a position that can provide the opportunity to assist in the smooth and efficient operation of an expanding business office? Do you want to grow your experience in office organization and business operations? This position will allow you to grow your capabilities in organizing workload and the knowledge of business processes and recording financial transactions. Position Overview Eaglestone Equipment is seeking an Office Administrator to support Team Members by organizing operations and procedures, internal and external correspondence, and maintaining office systems. This position is part of an informal, small office and requires doing weekly verification of sufficient office supplies and ordering of requested/needed items, inputs customer information in ERP system, is active in company warranty processes, provides spare parts quotes, and completes clerical functions. About Eaglestone Equipment Eaglestone Equipment is a custom design and manufacturing company specializing in producing equipment necessary for safe food processing packaging. Eaglestone has been serving the food and packaging industry for over 20 years. All products are made to order and are customized to exact needs and specifications from the customer. Office Administrator Responsibilities: Responsible for entering purchase orders and tracking and reconciliation of shipments in company ERP system. Monitor shipping payments, create job payment schedules, and records payments. Performs monthly audits of ERP and backlog of past due jobs. Monitor Warranty Claims from customers, attend Warranty meetings. Submit spare part quotes to customers. Miscellaneous office duties, ordering, reporting, and filing. Requirements: High School diploma or equivalent; Bilingual in Spanish, a plus but not required. 1-2 years' experience in office administration, office assistant or relevant role. Excellent verbal and written communication skills. Familiarity with office management procedures and basic accounting principles. Strong working knowledge of Microsoft Office and office management software (ERP). Able to work independently or within a Team, with strong attention to detail.
