Medical Biller Needed HOMECARE OFFICE MANAGER (CCSP, SOURCE, VA AND PRIVATE PAY) Office Manager with Billing Experience- AVAILITY/ MMIS BILLING PORTAL QUALIFICATIONS : Bachelor's degree and three year's experience in the social service, criminal justice field or medical billing. One-year experience in management, billing and supervision of staff. GENERAL FUNCTION : Assist the Administrator in the management of specific program services and operations of all SHCS programs (CCSP, SOURCE and VA). As the Business Office Manager, you will direct the overall Business Office activities in accordance with current applicable federal, state, and local standards, guidelines and regulations, and as directed by the Administrator, to assure the proper administrative procedures are maintained Principle areas of supervision include: Program monitoring and quality improvement and referral liaison. Assume responsibility of the supervision and management of specific SHCS teams. Assume the duties and responsibilities of the Program Director in their absence. JOB RESPONSIBILITIES : Staff Development and Supervision' Review and approve duties of assigned staff and client paperwork of assigned staff Review client charts to ensure that staff is completing required paperwork. Review and approve timesheets and payroll information of assigned staff and approve staff leave including vacation and training. Monitor staff performance of assigned staff in accordance with position job description and meet regularly with assigned staff to review job performance and client caseload management Implement corrective action on above as appropriate in conjunction with the Administrator Prepare six month and annual performance reviews for assigned staff for submission to the Administrator Assist the Administrator and Clinical Supervisors with staff recruitment efforts for all program positions. Resolve staff personnel issues and enforce progressive discipline of assigned staff in conjunction with the Program Supervisor. Ensure that six month and annual performance reviews for all program staff are being completed as required by the evaluation Tracking System Ensure completion of documentation associated with the clinician development plans, required audio taping and Supervisory Home Visits Receive and respond to referrals and service inquiries on the programs offered by this company. Interview, screen and test all applicants Assist with recruiting, associate hiring, orientations, in-services, disciplinary actions, etc. Perform payroll duties including verifying time sheets and/or Telephony processing. Computer input of time sheet/Telephony changes for payroll processing. Maintain documentation of associate work record in Adacare and ensure current and complete personnel records for all homecare and office staff associates. Communicate continually with associates and clients to evaluate service Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions. Maintain an up-to-date competitive file, charge and pay rates. Maintains office staff by recruiting, selecting, orienting, and training employees. Maintains office staff job results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results. Pre-plan weekly sales activities. Maintain written documentation relating to all sales activity. Participate in developing annual sales goals. Coordinate sales activity with all office staff to assure appropriate follow-up. Maximize efficiency and cost effectiveness in daily activities. Provide Owner/Operations Manager with ideas and data which outline new service opportunities and sales potential. Protect all company records and property. Participate in educational opportunities in health care Conduct staff meetings in the absence of the Administrator as needed. Be totally knowledgeable in the agency service lines, service fees and client base. Propose services and institute contractual agreements with clients. Communicate information on competitive strategy to agency office staff Perform Postal mail and banking activities, if required Clear communications and reporting to the Owner Additional (non-essential) Functions Perform Postal mail and banking activities, if required Clear communications and Other general office and clerical functions. Other duties assigned by the Owner/Operations Manager Policy and Program Monitoring ' Monitor program and assigned staff compliance with all agency procedure. Ensure compliance with other relevant criteria including referring agency requirements and applicable standards. Assist in the Development of Agency policy and procedure and participate in annual revisions as needed. Conduct audits of client and staff files for accuracy and organization as required by applicable policy. Perform policy and program audits as required. Participate in Home based Services on call program as needed Participate in the Agency Annual Planning process. Assist the Administrator in program start up as needed. Financial Management' Assist the Administrator in the development of annual program budget and establish fiscal priorities as needed. Maintain oversight of the Program office space and assist in locating new space as needed. Spearhead fund raising efforts for enhancement of client services. 2. Community and Outside Agency Relations' Approve and coordinate all client referrals and intakes from all referral sources. Assign cases to respective Clinical Supervisor Schedule client evaluations required as required Complete paperwork associated with case acceptance or denial Maintain contact with referral sources to ensure 100% utilization. Develop contacts with outside agencies and individuals which may foster agency and program growth. Facilitate the Home-based services advisory board for assigned area. Assist with sales, marketing and public relations efforts. Sell and promote the agency services in the community. Represent agency at community functions and professional organizations. Quality Improvement' Monitor the completion of the client satisfaction surveys. Monitor the completion of the referral source satisfaction surveys. Monitor the completion of the follow up phone calls, compile the data and generate data reports for marketing. SKILLS Must be Reliability and discretion Must have Conflict management, leadership, problem solving, communication skills, financial managemen t , negotiation, IT and relationship-building skills. Must have Organizational skills. Regular Office hours: Monday to Friday 8:30 AM to 5:00PM After-Hours Coordinator Responsibility- As an after-hours coordinator you will be on-call outside the SHCS office after regular business hours. Your duties and period of availability ("After Hours Period") will be as follows: Monday through Friday from 5.30 p.m. to 8:30 a.m. daily (to be split equally with the Owner/Operations Manager) and alternate weekends as well as the hours when the office is closed (8:30 a.m. 5:00 p.m.) and on the following holidays (that fall during your time on-call): New Year's Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, Christmas Eve and Christmas Day.
