Summary of Job Responsibilities: Is responsible for the direct supervision of all activities in the Loan Servicing area. A specific emphasis on workflow to meet deadlines, and problem solving to maintain excellent customer service to internal and external customers. Performs administrative or clerical tasks to facilitate workflow in the Loan Servicing area. Must comply with all Bank Secrecy Act and Anti Money Laundering regulations, bank policies and procedures. Essential Job Duties: Ensures effective control of departmental workflow to meet deadlines. Maintains guidelines in handling customer issues and monitoring CRM cases to resolve in the most efficient and speedy process. Trains and cross-trains the loan servicing team to ensure workflows are not affected during the absence of any team members. Fosters and mentors' team to own their responsibilities and be self-motivated to achieve superior results. Monitors and reviews remote team to ensure production and accuracy. Assists with balancing for loans clearing, and other loan function accounts as needed. Accountable for complying with Bank Secrecy Act and Anti Money Laundering, RESPA, HMDA, Reg. Z, and other Bank policies, lending regulations, and procedures. Ensures proper coding for loans for the Call Report, HMDA, and G/L Classification. Responsible for maintaining and updating loan translates and coding in the Core Systems (CSI NuPoint) for reporting accuracies. Prepares, updates, and delivers procedures and policies as needed in proper format. Ensures those in direct reports are continuously updating and creating necessary procedures to complete daily workflows. Ensures safekeeping of all digital and paper documents within the Loan Servicing facility. Responsible for accuracy and delivery of Loan Reports by any Loan Servicing digital systems either directly or through Loan Servicing Team. Lead in preparing reports and delivery of files for audits and exams. Responsible for team scheduling, time off approvals, denials, etc. Responsible for evaluating staff such as Mid-year, EOY Review, goals, etc. Periodic time studies, to ensure needs are being met. Coach, nurture and motivate staff whether one-one or in team settings. Manages a portfolio of team responsibilities as needed. Seeks communication with leaders from the direct lines of business (i.e., Commercial, Consumer, and Mortgage), to ensure the service team is providing the necessary support for all internal and external customers. Working with other department leaders on responsibilities within the Operations department. Other duties as assigned. Other Essential Job Duties: Responsible for special projects and/or duties relating to departmental functions as assigned by the senior loan officer. Works directly with the VP Mortgage, Commercial, Consumer and Compliance Department in assuring the Bank is up to date with all changes. This may require policy or procedure changes. Skills and Abilities Required: The ability to supervise a team of employees. Ability to work independently in a multi-tasking environment while meeting critical deadlines. Proven ability to solve complex issues, and complete assigned tasks with minimal supervision. Strong interpersonal communication with a focus on providing excellent customer service. Must have excellent organizational skills; be detail-oriented, accurate and self-motivated. Must be able to work remotely at times and maintain normal levels of production with minimal supervision. Minimum Level of Preparation and Training Normally Required: A High School diplomas. Minimum of two years' experience in servicing loans or loan processing preferred. Strong knowledge of the various types of financial instruments specific to the repayment of debt preferred. Willingness to take additional training courses as required. Working Conditions: Generally good. Some exposure to adverse conditions when making business development calls. Exposed to potentially hazardous conditions (i.e., robbery/hostage). Receives detailed instructions concerning procedures to be followed during a robbery/hostage situation. Primarily a work from office position with opportunity for remote work.
