Job Details Job Location : Temecula - Temecula, CA Salary Range : $20.00 - $33.00 Hourly Description Position Summary Klear Trust is an exciting start-up company specializing in software and technology services required to operationalize and support value-based healthcare agreements. Dedicated to leveraging innovative solutions to transform healthcare delivery, enhance patient outcomes and improve operational efficiency. As a Sales Administrator at KlearTrust, you will play a pivotal role in supporting our dynamic sales activities. You will be responsible for handling administrative tasks, maintaining accurate records, and facilitating seamless communication between the leadership team, sales team, clients, and other departments. Your attention to detail, organizational skills, and dedication to excellence will contribute to the continued success of our company. Essential Functions and Duties Administrative Support: Provide sales administrative support, including data entry, document preparation, and report generation. Assist in the creation and maintenance of sales collateral, presentations, and proposals. Schedule appointments, meetings, and coordinate sales travel arrangements for the team. Client and Sales Team Communication: Act as a primary point of contact for clients, addressing inquiries and ensuring their needs are met promptly and professionally. Facilitate communication between the sales team, senior leadership team, and other internal departments, such as product development and customer support. Sales Operations Support: Assist in the coordination of sales events, trade shows, and marketing campaigns. Monitor and manage the inventory of sales materials and promotional items. Collaborate with finance and billing teams to ensure accurate and timely processing of sales orders and contracts. Data Management: Maintain and update the customer relationship management (CRM) system with client information and sales activities. Generate sales reports, analyze data, and provide insights to assist the sales team in making informed decisions. Data Analysis and Reporting: Analyze sales performance data to identify trends, opportunities, and areas for improvement. Create and maintain detailed sales performance reports and dashboards. Provide actionable insights to the leadership team based on data analysis. Sales Tools and Technology: Keep track of leads and sales opportunities and ensure they are accurately documented in our CRM system in a thorough and timely manner. Manage and optimize the use of CRM systems and sales-related software. Train and support the sales team in using sales tools effectively. Identify opportunities for new technology to improve sales operations. Cross-Functional Collaboration: Collaborate with Sales, Marketing, Informatics, Customer Success, and Product teams to ensure cohesive sales administration and support. Foster strong communication and teamwork between departments. Support sales efforts by participating in client meetings, proposals, and sales presentations. Adheres specifically to all company policies and procedures, Federal and State regulations, and laws. Display dedication to position responsibilities and achieve assigned goals and objectives. Always represent the Company in a professional manner and appearance. Understand and internalize the Company's purpose. Display loyalty to the Company and its organizational values. Qualifications Education, Knowledge, Skills, and Experience Required Education: Bachelor's degree in business, sales, or a related field or four (4) years of relevant experience in lieu of degree. MBA preferred. Required Knowledge: Prior working knowledge of CRM & Sales systems. Strong working knowledge of MS Office. Required Experience: Minimum of three (3) years of experience [seven (7) for non-degreed candidates] in sales administration and/or operations within healthcare, life sciences, management, consulting, or SaaS industry. Cross-departmental collaboration. Experience creating and maintain sales reporting and analytics. CRM Management. Required Skills: Strong analytical and problem-solving skills. Proficiency in using, configuring, and managing CRM systems (e.g., Salesforce) and sales analytics tools. Excellent communication, leadership, and project management skills. Ability to work in a fast-paced, dynamic environment and adapt to change. Excellent communication and presentation skills, with the ability to effectively convey complex concepts to both technical and non-technical audiences. Demonstrated ability to build and maintain strong client relationships, with a focus on delivering exceptional customer service. Ability to thrive in a fast-paced, deadline-driven environment and manage multiple priorities simultaneously. Exceptional organizational and project management skills, with a keen attention to detail. Analytical and data-driven approach to decision-making, with strong problem-solving abilities. Physical requirements Vision, hearing, speech, movements requiring the use of wrists, hands and/or fingers. Must have the ability to view a computer screen for prolonged periods and the ability to sit for extended periods. Must have the ability to work the hours and days required to complete the essential functions of the position, as scheduled. The employee occasionally lifts to 20 lbs. and occasionally kneels and bends. Must have the ability to travel occasionally. Working condition include normal office setting. Mental Demands Learning, thinking, concentration and the ability to work under pressure, particularly during busy times. Must be able to pay close attention to detail and be able to work as a member of a team to ensure excellent customer service. Must have the ability to interact effectively with co-workers and customers, and exercise self-control and diplomacy in customer and employee relations' situations. Must have the ability to exercise discretion as well as appropriate judgments when necessary. Must be proactive in finding solutions.
