JOB DESCRIPTION As the Executive Assistant & Office Manager, you will play a multifaceted role, providing high-level administrative support to executives while overseeing the efficient operation of the office environment. This dynamic position requires exceptional organizational skills, discretion, and professionalism, as you will manage sensitive information, act as a primary point of contact for internal and external stakeholders and ensure the smooth functioning of office operations.RESPONSIBILITIES * Calendar Management: * Efficiently manage the executive's calendar, including scheduling meetings, appointments, and conference calls. * Prioritize and coordinate conflicting appointments and commitments to optimize the executive's time. * Communication: * Serve as the primary point of contact for internal and external communications directed to the executives. * Draft, review, and distribute correspondence, reports, and presentations on behalf of the executives. * Screen and prioritize incoming emails, phone calls, and other correspondence, responding or redirecting as appropriate. * Travel Coordination: * Arrange complex domestic and international travel itineraries for executives, including flights, accommodations, and ground transportation. * Ensure all travel arrangements align with executives' preferences and company policies. * Meeting Support: * Prepare meeting agendas, materials, and presentations for executives, attending meetings to take minutes and follow up on action items. * Arrange logistics for meetings, including room bookings, technology setup, and catering if necessary. * Administrative Support: * Provide general administrative support, including expense reporting, document preparation, and maintaining filing systems. * Assist with special projects, research, and data analysis as needed. * Reconcile receipts, credit card statements, and other documentation to track and categorize expenses incurred by the executives. * Work closely with accounting and finance teams to process expense reimbursements and resolve any discrepancies or issues. * Maintain detailed records of expenses and assist in budget tracking and forecasting as needed. * Provide guidance to the executives on expense policy compliance and offer recommendations for cost-saving opportunities where appropriate. * Assist with special projects and initiatives as assigned by the executives, exercising discretion and confidentiality as necessary. * Event Planning: * Plan and execute office events, meetings, and gatherings, coordinating logistics such as catering, venue booking, and attendee management. * Ensure events align with company culture and objectives, fostering a positive work environment. * Office Management: * Office Operations: Manage day-to-day office operations, including facilities management, supplies inventory, and equipment maintenance. * Vendor Management: Liaise with office vendors and service providers, negotiate contracts, and oversee the delivery of services. * Budget Management: Assist in developing and managing the office budget, tracking expenses, and identifying cost-saving opportunities. * Office Logistics: Coordinate office logistics, such as mail distribution, courier services, and facility access control systems. QUALIFICATIONS * Bachelor's degree in business administration, or related field preferred. * Proven experience as an executive assistant or similar role supporting C-level executives. * Strong organizational skills with the ability to multitask and prioritize competing demands effectively. * Excellent written and verbal communication skills, with a keen eye for detail and accuracy. * Discretion and professionalism in handling confidential information and sensitive matters. * Ability to work independently with minimal supervision and demonstrate initiative. * Flexibility to adapt to changing priorities and work under pressure in a fast-paced environment. * Strong interpersonal skills with the ability to interact professionally at all levels of the organization.
