Position Description To anticipate, control and manage administrative and other assigned business functions for the Senior Leadership team, making it possible for the senior staff to focus on other matters associated with directing the Credit Union. Provide administrative support for executive departments and human resources. Serve as a liaison internally and externally with partner credit unions, NCUA, CUNA and other peers in the credit union industry. This position will manage and support special projects; and will perform related work as required. Position Responsibilities Provide confidential administrative support to the Senior Leadership Team. Composes letters and memoranda from verbal direction or from knowledge of organization policy or procedures; composes and edits written communications from word documents. Coordinates meeting arrangements, makes travel and lodging arrangements as appropriate for the Senior Leadership Team and others within the credit union. Track and compile board actions as they fit into the company objectives Screen incoming mail, publications, and other correspondence; direct or copy any correspondence that pertains to other departments; order supplies as required for general office use for executive level employees; monitor and maintain executive area electronic equipment including facsimile and printers. Monitor the daily appointment calendars; logs contact attempts, ensures that a prompt response is made to members depending on the nature of the inquiry; input and monitor payroll activities for executive level employees. Prepare or assist in the preparation of assigned branch, product or service reports, as directed; produce monthly credit union data summary reports; update company policies contained within business plan as needed. Assist in aspects related to the Board of Directors and Committee meetings; attends monthly out of hours meetings, annual events and will be responsible to capture, for detailed reporting, verbal and confidential presentations at such events or meetings. Collect and prepare company information for the Senior Leadership's use in discussions and meetings with other credit union managers, employees and outside parties or individuals (e.g., external auditors, NCUA examiners, etc.). Maintain phone messaging system, making updates and recordings as needed. Be available after hours to record any messages as needed. Position Requirements High School or GED required, college degree preferred Three to five years of similar or related experience required Proficient with Microsoft Office 365 Suite including Teams, Word, Excel, Outlook, PowerPoint as well as Zoom is required. A significant level of trust and diplomacy is required, in addition to normal courtesy and tact. Work involves extensive personal contact with others and/or is usually of a personal or sensitive nature. Work may involve motivating or influencing others. Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary . Strong analytical and problem solving skills Strong oral and written communication and presentation skills required. Ability to interact with all levels of management.
