Site/Program: Administrative Office Reports to: Executive Director Compensation: $ 75,000-95,000 annual salary commensurate with experience. Full-time, exempt position. We work together across programs to address homelessness, lack of affordable housing, and to support immigrant rights in order to meet the complex needs of our communities and collectively address the root causes of suffering and injustice. Position Summary: DSCS is seeking an energetic and self-motivated individual to provide executive administrative support to our Executive team. In this role, you will be supporting executives, handling a wide range of complex and highly confidential duties. This role requires excellent calendaring and prioritization skills, attention to detail, organizational skills, and the ability to manage multiple critical requests at the same time. Candidates should have a minimum of 5+ years of experience supporting senior level executives and bilingual Spanish is required. Duties and Responsibilities: Arranges calendar and schedules internal or external meetings, independently or as directed. Arranges travel, accommodations, meetings, and meals for conferences and as needed. Assists in preparations of presentations and analysis which includes copies, PowerPoint, Excel, Word revisions. Draft, proofread, and format emails, agendas, documents, reports and presentations as directed. Assist in finance and administration communications, submissions of receipts and reimbursements, and reports. As required, research issues and topics and prepares executive summaries. Help drive team culture by assisting in planning events and operations. Coordinate agency-wide and administrative committees and retreats. As directed, represent the agency in an Executive team members absence and report back vital information. Support in gathering information across the agency, partnering with other staff to maximize participation. Orders supplies and equipment as necessary and manages relationships with vendors. Prioritize conflicting needs - handle matters expeditiously and proactively. Follow-through on projects to successful completion, often with deadline pressures. Take meeting minutes for meetings with Executive Leadership, and as needed, at committee meetings. Provide coaching and mentoring to other agency administrative assistants and staff. Develop standard operating procedures for administrative tasks/assignments in the organization. Supervise main office receptionist. Build great relationship with community partners. Other Organizational Duties Conduct business in accordance with the DSCS Employee Handbook, exercising sound judgment and serving the best interests of the agency and the community. Work within the framework of the agency's mission, vision, values, theory of change, and organization's commitment to diversity, equity, and inclusion, restorative justice, trauma-informed work, and language justice. Commit yourself to treating each community member with respect and dignity. Perform other duties as assigned. Qualifications and Experience Desired 5+ years of experience working as an Executive Assistant. Ability to work in a fast-paced environment and prioritize work to meet specific deadlines required. Must have ability to adapt to changing priorities and crisis situations. Strong prioritization, organizational, and time-management skills. Ability to juggle multiple tasks concurrently. Exceptional interpersonal, written, and verbal communication skills, including conflict resolution and relationship building. Experience with processing expense reports. Must be self-motivated and results oriented. Ability to keep sensitive matters confidential. Should possess strong computer skills, including proficiency with Outlook, Word, Excel, PowerPoint, office 365, and database management. College degree preferred. Availability to work on some evenings and weekends with advance notice on occasion. Bilingual in spoken and written Spanish, required.
