Description: This is an incredible opportunity to work with a high-profile CEO and digital marketing company in Walnut Creek, California. The Executive Assistant will play a key role in keeping the CEO's office & household organized, on track, and moving forward. They will handle details of a highly confidential and critical nature and must function efficiently and effectively in a fast-paced professional environment. Successful candidates have a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines, screen and prioritize communications and opportunities and organize and maintain administrative processes essential to this position. They must possess an unwavering can-do attitude to assist our CEO and Executive Officers. This role is best suited for someone who truly feels passionate about building a career as an Executive Assistant. High-Level Intro to One Planet Group: One Planet Group is a closely held private equity firm owning a suite of businesses spanning ad tech, lead generation, performance marketing, publishing, and media production. What you’ll do: Travel Planning: Arrange travel, including international and domestic trips, multi-city travel plans, personal travel, and organize itineraries CEO Personal Daily Activities: Errands, shopping, mail, car maintenance, home management Calendar Management: Effectively manage the CEO’s personal and business calendars, including booking appointments, setting reminders for important upcoming events, accurately entering meeting details, and understanding overall priorities to ensure a smooth schedule Communication: Assist with correspondence via email as well as social media engagement Record Management: Submit expense reports, maintain an organized filing system Company Events: Assist with the planning and execution of company events, such as team activities or onsite summits Maintain Confidentiality: You will have absolute discretion in handling sensitive company information and materials Assist the Executive Team as needed Qualities you possess: Curiosity and Continuous Learning: Maintain a perpetual curiosity and enthusiasm for acquiring new knowledge and skills, ensuring the CEO stays updated with the latest industry trends and best practices Consistency and Commitment to Excellence: A steadfast commitment to delivering consistently high-quality results. Excellent Judgment and Resourcefulness: Possessing excellent judgment, while navigating complex situations with a mature and resourceful approach, finding innovative solutions to challenges as they arise. Client Service Orientation: A client service mindset, thriving in a team environment, consistently demonstrating a "can do" attitude when interacting with colleagues and stakeholders. Independence in a Medium-Sized Office: Comfortable working in a medium-sized office environment, Adept at managing responsibilities effectively while contributing to team objectives. Attention to Detail and Excellent Execution: A keen sense of detail, executing tasks with precision and accuracy, ensuring that nothing falls through the cracks. Approaching and anticipating needs to address potential issues before they escalate. Interpersonal Skills and Team Collaboration: With ease, establish positive relationships with team members at all levels of the organization, fostering a collaborative and inclusive work environment. An ability to communicate effectively and build rapport, working seamlessly within diverse teams. Skills required: A minimum of 3-5 years of proven experience in the capacity of an Executive Assistant supporting C-level executives Comfortable with extensive driving Availability for Continuous Communication: Remain accessible for prompt responses to phone calls, emails, and texts at all times, facilitating efficient communication channels. Tech Proficiency with Zoom and Google Calendar: Exhibit proficiency in utilizing Zoom for virtual meetings and Google Calendar for streamlined schedule management, leveraging technology for enhanced productivity. Social media engagement: Engage regularly with Instagram, Twitter, and LinkedIn, and understand the value and importance of social media Microsoft Program Competence: Possess proficiency in Microsoft programs such as Outlook, Word, Excel, and PowerPoint, enabling effective execution of various office tasks. Adaptability for Immediate Projects: Demonstrate the ability to act swiftly and efficiently on immediate projects, ensuring timely completion and effective task management. Discretion and Confidentiality: Exercise sound judgment and maintain strict confidentiality when handling sensitive information, upholding the highest standards of professionalism and trustworthiness. Exceptional Interpersonal and Communication Skills: Exhibit outstanding interpersonal, organizational, and communication skills, both in-person and through phone and email interactions, fostering positive relationships and effective communication channels.
