Responsibilities Position Summary The Dispatch Team reports to the Yard Manager and General Manager and be the key liaison between the dispatchers and field team members (i.e. Management, Business Development, Drivers). The team will be the source of internal and external customer relationships related to the dispatching/scheduling of service technicians, customer service equipment and service issues.Each Dispatcher is responsible for the dispatch operations including assignments, schedules and dispatching drivers, trucks and equipment to work sites and customers on time and with a methodical process.Communicates with Customers and Yard Management to determine driver coordination and routing schedules and act as the single point of contact for drivers. Working with appropriate operational systems, monitors locations and assignments of all drivers, trucks and equipment including compliance of DOT and Company work hour policies and regulations.Represent the Company in a professional manner while interfacing with customers on product, delivery, pricing and related issues. Essential Duties and Qualifications Other duties may be assigned. A Dispatcher in this position must have the ability to: Best candidates will possess exceptional computer skills, highly knowledgeable and skilled in Microsoft products and Electronic Logging Devices (ELD). Possess very strong interpersonal skills and be able to discuss dispatch issues with coworkers, customers and managers. Develop and maintain positive customer relationships; represent the company in professional manner at all times; listen and resolve first line customer complaints and issues; provide feedback to Lead Dispatcher, Yard Manager and/or Business Development regarding customer complaints or issues on pricing, quality, credit et cetera. Process customer orders in a timely and efficient manner such as (but not limited to) taking orders over the phone and/or computer, filling orders preparing orders be shipped, and log daily sales. Route trucks, drivers and equipment; monitor and direct/redirect location and work assignment of all drivers and trucks. Single point of contact for drivers. Communicate with drivers on delivery status. Works cooperatively as part of a team to efficiently meet customer needs. Responsible for same-day and/or emergency routing of deliveries and services to customers. Ensure accidents and/or unsafe conditions are reported and handled properly. Determines, along with shift management, appropriate actions including alerting the safety group of Health, Safety and Environmental (HSE) incidents, accidents, and injuries. Maintain fleet in a safe manner in accordance with company and manufacture. Prepare daily records and memos, and maintain reports and company records. Review invoices for accuracy before they are processed including clarifying and/or resolving any open tickets and/or invoices. Provide timely reports to Management and Business Development as requested. Meet this position's physical demands. Possess a broad knowledge of company products. Other duties and projects as assigned. Responsibilities: In addition to the qualifications listed above, all positions are also responsible for: Meeting company standards pertaining to quantity and quality of work performed on an ongoing basis, performing all work related tasks in a manner that is in compliance with all company policies and procedures. Adhering to company policies, procedures, and directives regarding standards of workplace behavior in completing job duties and assignments. Perform assignments in an effective an efficient manner. Ensure work being carried out is performed in a manner that is compliant with company safety standards. Compliance with all D.O.T. requirements. Each employee is responsible and accountable for conducting job tasks in a safe, healthy and environmentally cautious manner. Report all incidents to company personnel including: Supervisor, Lead Dispatch, and HSE Representative. Requirements High School Diploma or GED Exceptional computer skills including Microsoft products and Google Earth Knowledge of computer software relating to record keeping/scheduling for drivers and helpers Preferred experience in Windows environment and on Excel, Microsoft Word, and or similar programs Six months to one year experience and/or training, or equivalent combination of education and experience Three (3) years prior commercial driving experience and three (3) years of customer service experience preferably in the industry is desired Possess a valid driver's license and a history of safe driving as exhibited by state MVR report Prior experience with resource tracking (dispatch) systems highly desired Knowledge of DOT requirements and regulations desired Ability to read and interpret safety rules, operating and maintenance instruction and procedure manuals Ability to read maps and topography Understanding of dispatch issues and procedures Safety, DOT and Training Conducts new hire onboarding on PeopleNet device, DOT logs and Dispatch duties. Employee retraining as necessary. Schedule driver and dispatch meetings. Ensure accidents and/or unsafe conditions are reported and handled properly. Determines, along with shift management, appropriate actions including alerting the safety group of Health, Safety and Environmental (HSE) incidents, accidents, and injuries. Maintain fleet in a safe manner in accordance with company and manufacture standards. Possess a broad knowledge of company products. Report all incidents to company personnel including: Supervisors, Management, and HSE Representative. Ability to read and interpret safety rules, operating and maintenance instruction and procedure manuals. Responsible and accountable for conducting job tasks in a safe, healthy an environmentally cautious manner. Attendance at monthly Safety Meetings. Completes online monthly Safety trainings. Ensures dispatch team participates and completes all Company and OSHA required trainings. Reviews Daily Tailgate meeting topics. Reviews Weekly Target Zero Training. Compliance of DOT and Company work hour policies and regulations. Represent the Company in a professional manner while interfacing with customers on product, delivery, pricing and related issues. Other duties and projects as assigned. Physical Demands and Work Environment Requires night and weekend work. Ability work alone and in group settings. This position will be working in an office environment, utilizing typical office equipment. Physical demands include: sitting, standing, walking, lifting materials, carrying, pushing, pulling, kneeling, bending, twisting, repetitive wrist and hand movements, hearing, seeing (including depth perception and peripheral vision), ability of rapid mental coordination and mentally alert for the entire regular shift.
