Summary Provide high level support to a team of development professionals in Cancer Programs, including the Senior Director and Director. The Development Assistant will work as a contributing member in a fast paced, service-oriented environment. This role will work independently and proactively to relieve professional staff of administrative tasks. The Development Assistant will prepare legal documents and correspondence with a high level of accuracy. Arrange donor and prospect meetings, including tasks related to itineraries, location, refreshments, staffing, purchases, hosting reports, and assists with assignments related to development volunteer activity and others. Frequently communicates with donors and prospects as well as volunteers, faculty and administrators. Runs reports and accesses information from donor databases. The Development Assistant will participate in team events. Annually, the Michigan Medicine Office of Development raises an average of $200 million which helps us to be a change agent of the world. Responsibilities* Administrative Tasks Manage and coordinate calendars and schedule complex meetings. Prepare P-Card and hosting documentation for reconciliation. Represent development in handling inquiries of a highly sensitive and confidential nature. Assist with planning and execution of visits, events and committee meetings including preparation of invitation lists, coordinating details with event planning staff, and making guest arrangements for campaign events and activities. Coordinate travel, hosting and event related activities including planning trips and itineraries, coordinating travel arrangements, locations, refreshments and staffing. Provide reception coverage as needed. Serve as the primary partner for budget development, working with the Director, Senior Director, major gift officers, and partners in Administration and Finance. Other administrative duties as assigned. Donor and Prospect Coordination Assist gift officers to systematically identify donors and prospects with capacity. Analyze prospect data and prepare reports. Prepare legal documents and correspondence related to donor and prospect activities. Provide meeting preparation and follow up with high level prospects, donors, campaign volunteers, volunteer committees and third-party events including note taking. This also includes planning activities related to the Rogel Cancer Center National Advisory Board. Coordinate details and written preparation of briefing materials for events involving major gift prospects, donors, and University and Michigan Medicine leadership. Serve as a primary partner with Donor Relations to aide in stewardship and cultivation initiatives. Monitor the stewardship tracking system to support engagement plans for major donors to the Rogel Cancer Center. Other administrative duties as assigned. Required Qualifications* Senior level: At least four years of progressively responsible administrative support experience, preferably in a fundraising environment. Intermediate level: At least two years of progressively responsible administrative support experience, preferably in a fundraising environment. High school education or equivalent. Ability to manage multiple priorities and meet challenging and changing deadlines. Excellent skills in the use of the Microsoft Office Suite (Word, PowerPoint, Excel, Visio, etc.) Experience in creating databases and generating reports from a variety of internal data bases. Must be a self-motivated, highly dependable independent worker with the ability to efficiently and effectively prioritize work and problem solve without direct supervision. Excellent verbal, written and organizational skills. Strong commitment to philanthropy at Michigan Medicine. Discretion and the ability to interact with top-tier donors while maintaining a high level of confidentiality. Ability to work effectively with frequent interruptions. Demonstrated ability to develop good working relationships with internal and external constituency groups and to work collaboratively with colleagues in a team environment. Superb attention to detail. Ability to work flexible hours with occasional weekend and evening work as necessary. Candidate must have access to reliable internet. Desired Qualifications* Bachelor's Degree or equivalent combination of education and experience. Demonstrate comprehensive knowledge of the University of Michigan and the Michigan Medicine organizational structure, culture, operations and procedures. Experience with Zoom or other virtual meeting platforms. Familiarity with DART and other development reporting systems. Work Locations The onsite location for this position is an office suite at 777 E. Eisenhower Pkwy, Ann Arbor. This building provides free, on-site parking for staff.This position may be eligible for flexible work opportunities at the discretion of the hiring department. Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department, throughout the course of employment. This position works both onsite and remotely based on the business needs of the unit. Underfill Statement This position may be underfilled at a lower classification depending on the qualifications of the selected candidate. Background Screening Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
