Responsibilities Maintains appropriate staffing with guidance of Practice Manager, including: Coordinates with Office Supervisor to prepare back office staff schedule Coordinates with Practice Manager/Office Supervisor ensuring that the clinic runs smoothly by maintaining patient/provider flow to ensure patients are being seen on time Controls overtime and approves any overtime if needed Float on the floor, available when needed to assist wherever needed back office Responsible for training of new Medical Assistants and ongoing training of current Medical Assistants Oversees day to day routine of back office: ensuring phone messages are checked throughout the day, calls returned instruments cleaned throughout the day rooms properly stocked Assign staff cleaning and spore testing of autoclave Assign staff to monitor expiration dates on meds and samples, maintains date check records Addresses ordering and cost saving equipment Orders and maintains clinical supplies as needed, ensures no supplies are out of stock and takes steps to avoid last minute rush orders Other duties as assigned, including but not limited to: Assists with prior authorizations for prescription refills and procedures and ensures that processes of prescription refills in compliance with established procedures; authorization for prescriptions as needed Assists staff with the upkeep of pathology book, slides, and pathology log/reports; records results in patient charts Handles patient complaints Responsible for insuring devices for transport are properly cleaned and packed for pick up by couriers. Device transport schedule is monitored, and devices due in the office for patient treatments arrive well in advance of the patient appointment time Qualifications 3+ years' experience as a clinical supervisor, clinical back office setting Experience in dermatology or similar specialty Proven leadership and supervisory experience (10+ employees) in a thriving clinic with high patient volume Prior experience as a medical assistant preferred Knowledge of medical terminology and procedures Proficient in Microsoft Office, Nextech, and/or similar practice/patient management software Knowledge of HIPAA/PHI guidelines and other compliance standards Benefits and Perks We value our employees' time and efforts.
