Working Title: Business Services SpecialistProgram: Business Services TeamPay Range:$18.94-20.88 /hourSign-on Bonus: $2,500Location: The DallesFTE: 1.0 FTE (37.5 hours per Week)FSLA Status: Non-Exempt Mid-Columbia Center for Living (MCCFL) is a Certified Community Behavioral Health Clinic (CCBHC) that specializes in providing services that are both trauma-informed and recovery-oriented to persons/consumers with mental illness and addictions. Trauma-informed care includes safety, choice, collaboration, trustworthiness, and empowerment for both clients and staff. MCCFL serves Hood River, Wasco, and Sherman Counties and utilizes a consumer-involved, consumer-engaged, and consumer-driven model. MCCFL provides a whole-person care approach to adults and children to address both physical and mental health needs. MCCFL offers a variety of programs including a mobile crisis unit, intensive case management, ongoing counseling, community support, supported employment, jail diversion, hospital discharges, hearings, and more. Classification General Statement : The Business Services Specialist I plays a pivotal role in providing essential clerical and administrative support directly benefiting agency workflow and clinical staff. This encompasses a broad spectrum of standard office duties, including reception, scheduling, payment processing, word processing, and data entry. The role's flexibility is evident in the potential inclusion of specialized clerical tasks based on the specific location and supported programs. Beyond these foundational responsibilities, successful candidates are expected to possess key abilities crucial for optimal job performance. This includes the capacity to navigate challenging interpersonal exchanges with clients with grace and good humor, collaborate seamlessly with various departments and community partners, and communicate effectively, orally and in writing. Additionally, candidates should showcase the ability to establish and maintain harmonious work relationships across all levels of the organization, whether with co-workers, consultants, contractors, community partners, or consumers. These essential skills contribute to the overall success of the Business Service Specialist I in maintaining a positive and productive work environment. Position-Specific Essential Responsibilities of the Business Services Specialist I The following list represents the essential responsibilities (functions) of the position. It does not, however, represent all of the duties the position may be asked to perform: Provide general reception services in a clinic or office setting. Serve as initial contact for clients and visitors in person and by telephone. Greet arrivals and callers; screen and route calls; provide general information. Operate multi-line telephone and voice mail systems; ensure that calls are transferred, and messages are properly delivered. Serve as emergency call screener as assigned. Perform a variety of word-processing duties. Prepare forms, correspondence, reports, letters, and other material from rough drafts or verbal instruction with reasonable speed, accuracy, and timeliness. Maintain clinician scheduling in the electronic system. Schedule client appointments; obtain completed intake paperwork; obtain insurance information for billing purposes. Inform the client of associated fees; collect and post payment; issue receipt. Review the account with the client and provide explanations, as needed. Scan client documents into electronic health records; ensure that documents are properly scanned; ensure confidentiality and security of all records within the scope of responsibility. Open, date-stamp, and distribute incoming mail; prepare outgoing mail. Ensure that the postage meter is loaded with adequate postage to meet business needs. Assist clients with voter registration, as requested. Ensure that forms are complete; forward forms and records to appropriate agencies; maintain associated records. Ensure that all office equipment is in proper working order; assist staff with troubleshooting equipment malfunctions; report unresolvable issues to the Office Manager. Prepare the front office at the beginning and end of the business day; follow opening and closing procedures and processes; ensure that confidential information is secure. Prepare bank deposits, as assigned. Provide back-up for other Business Service Specialists, as assigned. Regular and reliable attendance; timely and professional communication; confidentiality. Job Specifications: Any combination of education and experience that demonstrates the ability to perform the position’s essential responsibilities is qualifying. This includes: High school diploma or GED and two (2) years of journey-level office support or secretarial experience. Accurate keyboarding of at least 40 words per minute. Relevant work experience in a medical setting is desired. Bilingual fluency in English/Spanish preferred. Must possess a valid Oregon or Washington Driver’s license and be insurable for infrequent travel between business offices or possess an alternative reliable mode of transportation. Must pass all criminal history check requirements as required by ORS 181.536-181.537 and in accordance with OAR 407-007-XXXX – 407-007-XXXX. Other Required Knowledge, Skills and Abilities : Knowledge : Knowledge of the principles and practices associated with modern clerical support work; knowledge of business English and grammar; knowledge of medical terminology and electronic health record systems; knowledge of basic bookkeeping; strong knowledge of standard office equipment and multi-line telephone systems; general knowledge of symptoms and challenges faced by people with mental illness; general knowledge of community resources available to mental health consumers. Skill : Strong skill in keyboarding and data entry; strong skill in the use of standard office software, including MS Excel and Word; skill in the use of database software. Ability : Ability to understand and effectively apply the concepts and practices of a trauma-informed philosophy in performing the work. Ability to work within strong professional ethics and rules of confidentiality to provide effective services. Ability to project a positive, professional image of MCCFL; ability to maintain a strong service orientation; ability to organize and execute work to maintain an effective work flow in the office; ability to discern appropriate responses and alternatives, and apply judgment within established parameters; ability to follow established procedures and work productively under general supervision; ability to work with grace and good humor, sometimes in difficult interpersonal exchanges with clients; ability to work cooperatively with other departments and community partners; ability to communicate effectively, both orally and in writing and within Sanctuary Model guidelines; ability to establish and maintain harmonious work relationships with co-workers at all levels of the organization, consultants, contractors, community partners, and consumers. Leadership Received : This position works under the supervisory leadership of the Business Services Supervisor and Business Services Manager. Leadership Exercised : Supervisory leadership is not a responsibility of this classification. Physical Demands : While performing the essential duties of this job, the employee is regularly required to use office equipment that requires fine manipulation, grasping, typing, and reaching. The employee may be required to sit or stand for several hours at a time, depending on environment and need. This position may occasionally be required to lift up to twenty-five (25) pounds, and to kneel, reach, bend or squat. Specific vision abilities required by this job include close vision, peripheral vision, distance vision and the ability to adjust focus. Work Environment : Work is typically performed in an office environment with moderate stimuli and may often result in exposure to increased sensory experiences.
