Description:

Our client is hiring for a Board Liaison and Executive Coordinator.The Board Liaison and Executive Coordinator reports to the Chief Executive Officer. This position works closely with the Chief Executive Officer, as well as members of the senior management team to coordinate all activities related to the Executive Office and the Board of Directors. Activities include liaison with the Board of Directors, senior staff, public officials, and other constituents, scheduling meetings, preparing meeting materials, and providing administrative support for the Executive and Advancement Office.This position is a full-time exempt position. The schedule is generally Monday through Friday, 8:30 am to 5:00 pm and may include holidays, evenings and/or weekend hours depending on the needs of theorganization.ESSENTIAL FUNCTIONS and RESPONSIBILITIES include but are not limited to: Provide general administrative support to the Chief Executive Officer and the Director of Advancement; Facilitate the efficient utilization of the CEO's time through the development and coordination of a complex calendar of appointments, meetings, social engagements, Zoom calls, and community functions with individuals and groups; Coordinate the flow of communications and serve as a liaison between the CEO and senior staff, members of the Board of Directors, public and private officials, donors, and the various publics served by the Client; Research, compile, draft, edit, and proofread correspondence, presentations, proposals, reports, and documents; Ensure the timely preparation of materials and technology setup for key external and internal meetings involving the CEO and/ or the Director of Advancement; Coordinate and manage the comprehensive calendar of the Board, all committees (including ad hoc committees), and senior management as needed; Maintain Board and committee rosters, make necessary updates to the Board manual, bylaws, committee charters, policies, and other documents; Distribute annual Board compliance documents; Prepare meeting agendas, distribute meeting packets, draft motions and resolutions, and take meeting minutes for Board, committee, and other meetings; Secure locations, coordinate catering, and compile all materials for Board, committee and development meetings, as well as Board social events, donor and Capital Campaign events; Liaise with the CEO, the Finance Department, and outside contractors to coordinate the approval of invoices and facilitate timely payments; Coordinate official travel for the CEO by making travel arrangements and preparing associated approval forms and travel expense reports; Partner with the Director of Advancement and the Capital Campaign Manager to coordinate Capital Campaign meetings, events and activities, conduct prospect research, and assist with other Capital Campaign tasks as assigned; Acquire an understanding of Board bylaws, charters, and policies; Support the CEO in dealing with confidential or sensitive organizational matters; Provide oversight and guidance to projects of high importance; Provide miscellaneous administrative and logistical support as needed. QUALIFICATIONS AND REQUIREMENTS: Strong interpersonal and writing skills and attention to detail; Discretion in handling sensitive or confidential information; High level of computer literacy, including experience with Power Point, Outlook, Excel, Word and donor databases; Ability to work in a fast-paced environment with a high level of professionalism; Ability to work collaboratively with others; Ability to work independently with little to no supervision; Ability to handle changing priorities with good judgement; Three to five years of executive support experience, preferably at a nonprofit organization; Understanding of non-profit organizations and the role of the board, donors, and staff; Knowledge of standard non-profit board procedures and best practices preferred; Four-year college degree; or a combination of experience in related field. QUALIFICATIONS AND REQUIREMENTS: This position requires the use of computers, standard office equipment including photocopier, postage meter, ten-key, phone, two-way radio, and a golf cart.
