Department: Community Impact / Early Learning Multnomah Reports to: Senior Manager Early Care and EducationSalary: $41,800 - $64,775FLSA: Exempt Purpose of this Role Helps families find and access free, publicly funded preschool settings that meet their value and needs. Connects them with resources. Supports them through the application and eligibility determination process if they select a Preschool Promise site. Drives quality assurance efforts to improve outreach and enrollment based on the experiences of families. Participates in a larger team within UW that addresses system-level inequities that impact families with young children and is building an early care and education system that is free from bias and gives every child what they need to thrive. Key Accountabilities Assists families with the application/eligibility process for the selected Preschool Promise Provider. Help families through the process of submitting their documentation that verifies income, age and residential eligibility into the website either by talking families through the process over the phone or in person. Serves as the primary contact for Spanish speaking families and PSP providers. Coordinates with the other Enrollment Project Manager to determine eligibility for families applying for PSP. Work with families who experience a unique barrier and challenge throughout the process and resolve any issues that arise. Responds to families’ questions through the Coordinated Enrollment helpline and email Respond to phone calls, texts and emails from families with questions about Preschool Promise (PSP) requirements, program elements, application process or specific PSP providers. Be the point of contact for families when they have concerns about their application review or have other worries such as not getting their first choice program or not getting into the program at all. Provide excellent customer service to families during the application process. Helps families understand the range of preschool programs and how to apply Be knowledgeable about preschool program options in various setting to talk families through their choices both when families reach out directly and at recruiting events. Serves as a liaison between families and Preschool Promise providers When families are unhappy with their PSP provider, advocate for the family and sort out issues with the state program. Promotes community resources, events, and related activities to families. On an as-needed basis, connect families with other state programs like food banks, libraries, SNAP, etc. Contribute to Preschool Marketplace implementation strategies based on family feedback Leads Coordinated Enrollment outreach for Ready for PreK partners. Promote the Marketplace and help with community-wide recruiting effort such as handing out materials at events, putting together swag bags, tabling, etc. Ensures families get timely responses and placement by processing applications during peak time ​​​​​ During peak time it is all hands-on deck and everyone gets into the database to process applications. Provide feedback and design assistance for the database used for PSP enrollment which was custom made for this team’s needs. Keeps Preschool Promise data up to date. Conducts Community outreach for PSP. Additional Competencies and Required Skills Excellent customer services skills with a pleasant attitude that allows for easy engagement with providers and families. Creative in problem solving and coming up with solutions to a wide array of different issues that may arise during the application process. Education, Skills, Experience, and Training Required for this Position Associate degree with two years related working experience; or bachelor’s degree, ideally in Early Childhood Education, Social Work, Marketing, Program Management, Business Administration, or another related field; or equivalent combination of education and experience. Experience in an educational or family services agency setting such as a preschool or childcare is a plus. Bilingual in English and Spanish for both reading and writing.
