Job Summary: Under the general direction of the Executive Director, the Administrative Director plans, directs and coordinates the activities of the IBHS and Outpatient Departments of ACRP, relating to financial management, scheduling, staffing, and personnel operations in accordance with prescribed program regulations, policies, priorities, and funding. The Director also plans, directs and coordinates the activities of the Department to ensure that established goals, objectives, and services are accomplished in accordance with prescribed regulations, priorities, time limits and funding conditions. Additional duties are to advise, makes recommendations, and assists the Executive Director in the formulation of goals and objectives and exercises independent judgement in the course of carrying out overall responsibilities. Duties/Responsibilities: Directs the day-to-day operations of assigned IBHS/OP clinic location Daily manage and respond to emails and phone messages in a timely manner Manage office finances, budgets, and approve all purchases for office supplies or equipment Attend all required meetings on time. Plan, schedule, and conduct administrative meetings Ensure all director and staff paperwork, tracking forms, and reports are completed and sent to the appropriate receiver in a timely manner. Complete, review, and audit; records, charts, files, faxes, reports, correspondence and other written materials of clients and by staff for accuracy of contents and timely completion Monitor, review, and approve staff reports, schedules, time sheets, and paperwork Supervise, monitor, assess, and regularly review staff performance and productivity, prepare and present staff performance evaluations, and conduct annual staff evaluations Conduct corrective action meetings with staff, when necessary, intended to coach and redirect poor performance issues and policy violations Maintains, adheres to, and implements the agency's programmatic and administrative policies and procedures to attain program goals and objectives Track staff attendance, call offs, sick/vacation time, and unemployment compensation claims Ensure staff schedules meet the needs of patients while accommodating guardian schedules Ensure all staff meet and maintain legal and agency requirements including, but not limited to; qualifications, clearances, education, and trainings Identify, recruit, and screen potential employees for position openings at assigned location. This includes, but is not limited to: recruiting at job fairs, colleges, and universities; scheduling and conducting candidate interviews; and the completion of reference checks. Communicate recommendations for the employment, promotion, disciplining, and termination of staff to the Human Resource Director and/or Executive Director Monitor the agency's compliance with Title 55, Chapter 5200, 5240, 5240.11 Prepare and participate in all necessary program audits Meet regularly with ACRP County/Site Directors and Clinical Directors Coordinate, plan, and attend fundraisers and community events Makes programmatic and administrative recommendations to the Human Resources Department in accordance with the agency/program goals and objectives. Assist Quality Assurance Director in monitoring Fraud, Waste, & Abuse, program compliance, as well as timely and successful resolution to problems, and audit findings Develop and monitor the quality improvement plan for the agency Initiate and foster communication to facilitate services between the Managed Care Organization (MCO), professional providers, schools, clients and families (and all ACRP Programs). Minimum Job Requirements: Education / Experience: Bachelor's degree in psychology, social work, counseling, education, human services, public administration, business administration or related field. At least 5 years of professional experience in the mental health or human services Required Clearances and Documentation: Must possess a valid driver's license and have access to reliable transportation Act 31/Act 126 Clearance Mandated Reporter Training Act 34 Clearance Pennsylvania State Police Background Check (Criminal History) Act 114 Clearance FBI Fingerprint Act 33 Clearance Pennsylvania Child Abuse History Physical Requirement: Prolonged periods of sitting at a desk and working on a computer.
