JOB DUTIES AND RESPONSIBILITIES - Administrative Duties: Supervise and coordinate work for staff assistant's and provider support assistant's Onboard/coordinate training for new hires Complete staff continuous and annual performance evaluations Monitor and balance workload among staff Manage coverage for staff Meet routinely with staff to review assignments and identify areas of opportunity related to workflows/policies Request administrative positions through Neurology HR - Interview and recruit - Access/Scheduling/Template Management Serve as liaison for Access Center and Neurology clinics Assist with training access specialists within Neurology Access Center Partner with Access Center on scheduling improvement projects and initiatives Navigate Duke Today appointment requests Meet monthly with clinic, department and access center leadership Attend and contribute to quarterly Decision Tree meetings Work closely with clinical operations manager regarding scheduling/template management Develop, assess, adapt, and change strategies to manage a myriad of patient access needs and provider schedules, including patient access projects and pilots Manage stat referral requests when "sooner appointment is needed" as requested by provider, patient, or hub Provide regular feedback to leadership regarding the status of scheduling and template concerns Manage provider generated appointment cancellations and cancellations submitted less than 4 weeks in advance. Evaluate the impact on rework of bumped patients and works with division leadership to improve. Diagnose and continuously improve scheduling inefficiencies while engaging necessary faculty, staff, and leadership. Oversee, review, and build scheduling guidelines - Attend and directly contribute at meetings with faculty, clinic staff, Department/Divisional, DHIP and DHAS leadership- Other duties as assigned JOB ELIGIBILITY REQUIREMENTS Work requires a general business background generally equivalent to a bachelor's degree in a business related field. Work requires 2 years related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities.A master's degree in a business related field may be substituted for 2 years experience.OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.Preferred Qualifications: patient scheduling, supervision, insurance approvals, and maestro. JOB HOURS The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.Some roles within our organization may encompass essential job functions requiring distinct physical and/or mental capabilities.
