Job Description: Administrative Assistant About Voices Together: Voices Together is a 501(c)(3) nonprofit providing music therapy to approximately 2000 people across the central and northern regions of North Carolina. The mission of Voices Together is to empower individuals to find their voice and create their own path in life through specialized music therapy. Voices Together uses a specialized VOICSS® model to increase communication, social/emotional learning, and self efficacy. The evidence-based VOICSS® method is considered a best practice, supported through a strong research partnership with Duke University. Voices Together currently serves clients across the state within school districts and the wider community in the Triangle and Triad, with more expansion and opportunity on the horizon. This position is located in the central office in Chapel Hill, North Carolina. About the position: The Administrative Assistant will provide administrative support to Voices Together's CEO, Senior Director of Development, and Program Manager. There will be a lot of variety in the kinds of work that the Administrative Assistant will be involved in at all times. The ideal candidate will be a compassionate self-starter with excellent communication and organizational skills. Primary Job Responsibilities: Assist Program Manager, Senior Director of Development, and the CEO with day-to-day administrative needs. Provides administrative support to ensure efficient operation of the office. Schedule appointments and maintain calendars Create and maintain filing systems, both electronic and physical Prepare communications, such as memos, emails, invoices, reports and other correspondence Maintain excellent communication and problem solving skills for our clients, parents, and community members participating in Voices Together's programming. Maintain polite and professional communication via phone, e-mail, and mail. Sending follow-up materials and following up with clients and members of the community about Voices Together's offerings. Act as the point of contact for internal and external clients. Proactively communicate with our client base to address approaching holidays, session cancellations due to inclement weather, and event reminders. Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies Set up meetings with internal and external parties (staff, prospects, funders, partners, etc.) Take notes in Zoom meetings with prospective funders, partners, and others and sending out follow up materials from these meetings, as needed Assist Program Manager and Coordinators with the scheduling process for all programming. Plan meetings and taking detailed minutes Write and distribute email, correspondence memos, letters, faxes and forms Maintain contact lists Supporting the music therapy team's programming needs. Assist with maintenance and updating of the website. Maintain calendar for the CEO - coordinating with the programming team to schedule observations of MTs Other administrative duties as needed Knowledge, Skills, and Abilities/Competencies: Strong written and verbal communication skills Excellent interpersonal skills Flexible and able to adapt to fast changing environments Time management, organizational skills, and attention to detail Ability to work under pressure Ability to creatively problem-solve Works well in a team setting Proficiency with Google Suite and Microsoft Office Knowledge of music therapy or willingness to learn about our programming Benefits: Fully paid medical and dental insurance for all full-time employees Vision insurance is offered ($1/month) to full-time employees.
