Custom Built Design & Remodeling has an opening for a part-time (20 hours/wk) Administrative Assistant to join our team. Job Summary: The Administrative Assistant is responsible for supporting with the day-to-day business operations of the organization including assisting with accounting, bookkeeping, human resources, and business management functions while providing administrative support. The Administrative Assistant will be proactive, an exceptional communicator, highly organized, detail-oriented, comfortable with new challenges, and have the ability to work independently and within a team. Additionally, the Administrative Assistant will adhere to the strictest level of confidentiality. Primary Job Responsibilities: Answers incoming phone calls and enters leads into CRM system. Answers front door/processes mail deliveries. Responsible for full cycle AR. Assists with full cycle AP. Sets up and maintains vendor records, files, and folders; and processes and maintains vendor lien waivers. Processes and enters credit card charges. Processes customer PAA, PDA, and Sales Agreements. Processes subcontractor purchase orders. Manages and tracks client key boxes. Maintains the accurate recording of entries in QuickBooks, GL coding. Verifies receipts, invoices and payments for accuracy and consistency. Data entry and invoicing. Regularly troubleshoots discrepancies and applies creativity in solving complex problems. Prioritizes and completes work based on workflow requirements and deadlines. Provides administrative support to the company. Maintains office supply inventory/orders. Assists with new employee onboarding as requested. Utilizes various computer programs/systems used in accounting, financial modeling, and financial management. Documents/updates production policies, processes, and procedures as requested. Other: Develops and fosters positive and effective working relationships with the senior team and all team members; and works harmoniously and collaboratively with team members to accomplish organizational objectives. Attends all onsite meetings as required. Performs other duties as assigned. Job Requirements: Education: High School graduate or equivalent; Completion of or pursuing Associates or bachelor's degree in business, finance or related field, preferred. Must have experience with Microsoft applications and be comfortable working with multiple software applications. Certifications: None required Required Knowledge, Skills, Abilities, Training and Experience: Previous experience working in accounting, AP, AR, or related role preferred. Previous experience working in an office setting required. Strong customer service acumen required. Ability to work autonomously and with little guidance. Demonstrates strong organizational skills and enjoys organizing files, data, and related activities. Displays the confidence and competence to gain/maintain the organization's credibility. Takes initiative to learn, develop oneself and see things through from start to finish. Excellent interpersonal communication and computer skills; ability to operate standard office equipment. Ability to engage in active listening and communicate complex information to a variety of audiences. Essential Physical Requirements: Ability to converse verbally and in writing with others. Ability to utilize general office equipment, Internet and various business software programs (i.e. MS Office, QuickBooks, etc.). Ability to travel to attend various events and meetings as needed.
