Position Posting Admin Support 4 – Records Management (1 Position Available) Term of Employment: Full-time, Continuing Rate of Pay: Band 4: $29.65 - $32.39 per hour ( Subject to CUPE 1015 Agreement ) Location: City Hall Duties: Reporting to the Manager, Legislative Services, the Admin Support 4 - Records Management is responsible for providing administrative and records management support to the Legislative Services team. Duties & Responsibilities Records Management Establishes and maintains corporate records and document management system, verifying they are accurate and current by reviewing and interpreting each document, deciding on the most logical and accessible place to file, classifying each document, and maintaining the document in the appropriate manner. Scans, files, archives, types, file maintenance and document retrieval. Develops and maintains records inventory and retention schedule, assigning permissions and access to certain project and document files and libraries, while ensuring confidentiality of the records and data. Recommend and implement changes to governance documents, as required. Develops and implements records management standards, strategies, policies and procedures in consultation with the Manager, Legislative Services. Implement and maintain records management software (Share Point), ensuring proper sites are set up and maintain compliance. In accordance with the City’s Records Management Bylaw, annually coordinates all records destruction, compiling and ensuring execution of destruction certificates. Coordinate/process file transfers between departments, as required. Maintain and manage all paper records of the City. Develop and maintain records management processes and forms. Lead and coordinate special projects – file reduction, digitization, closing, reviews for disposition, etc. Provide guidance, training, and assistance to the organization on the use of Docu Sign.
