Tenant Engagement Manager reports directly to the Director of Tenant Engagement or Senior Property Manager RESPONSIBILITIES Create and execute innovative events that promote community, health, wellness, connectivity and activation of building amenity spaces. Develop and continuously enhance positive connections with the tenant population to provide a tailored work experience for each person based on their interests, wants and needs while promoting rapport with tenants and building staff. Assist with the development and maintenance of all social media accounts and electronic marketing tools with approval from direct supervisor before posting. Work alongside the broker teams to support the leasing efforts of multimillion-dollar assets by preparing vacant spaces and common areas, ensure brokers are notified in advance of all building events, and brainstorm ideas to customize and enhance the tour experience. Have a working knowledge of standards and procedures for proper meeting room and table setups, various meeting room and table configurations and the set-up of staging and dance flooring. Configure tables, chairs, podiums, microphones, speakers, easels, audio/visual equipment including IT usage, projectors, and projection screens, etc. as needed. This is to include configuration to the lighting system, AV and sound system, for the occupant for eventproceedings, both prior to, during and after event to support and restore the same locations to pre-event conditions. Ensure overall high-quality Customer Service for tenants, including work orders and tenant. Ensure tenant problems and concerns have been addressed by other members of the team in a timely and satisfactory manner. Provide tenants with personal and corporate services to manage their work life integration. Examples include event tickets, meeting and event planning, time-saving services, health and services, etc. Cultivate and sustain positive relationships with area restaurant/retailers, etc. in an effort to stay up to date on happenings, restaurant openings, events, etc. Assist in maintaining all building common areas and multi-tenant floor signage. Maintain certificates of insurance for tenants, vendors, contractors and track expiration dates and coverages for all in accordance with LPC and ownership policies. Maintain and update emergency contact lists and electronic notification services. Assist in all general office duties involved in maintaining service to the tenants and ownership. ESSENTIAL SKILLS ABILITIES, KNOWLEDGE AND EXPERIENCE Exceptional customer service Self-motivation and proactivity A Bachelor's degree - Communications, Hospitality, Retail, Travel or Marketing; or industry related curriculum, with work experience in the meeting planning industry preferred (Hotel, convention center, corporate or association), or high end/boutique retail. An on-trend Pinterest, Facebook or Instagram account (aka social media savvy) Minimum 1+ year of experience in meeting/event planning in government, corporate, or hotel and convention services. A sharp professional appearance An eye for detail and a knack for anticipating a tenant's needs A hospitality-focused mentality Strong written and verbal communications skills. Ability to understand and carry out industry specific written and oral direction. Positive, innovative approach to problem solving. Presents ideas in a clear, concise, understandable, and organized manner; negotiate, persuade, and modify opinion in order to reach the goals/objectives of the organization. Ability to work independently as a project leader and as a team member. Ability to work in an organized, efficient manner with a high level of accuracy, attention to detail, and follow through. Ability to exercise judgment and discretion is critical to success. Must be professional at setting priorities and coping with competing demands. Specific Implementation of Job Responsibilities for Tenant Engagement Manager (TEM) at 1101 K Street Direct Supervisor is Brittany Rice, Sr. Property Manager. Implement Lincoln Property Company's (LPC) tenant engagement program, Linc, at 1101 K Street in coordination with Felicia Marsh, Director of Tenant Engagement. Be aware of Tenant Engagement budget and Critical Path for the budget year and track expenses appropriately. Prepare Vendor Event Cost Comparison Template for each event and provide to Brittany Rice and Felicia Marsh. Complete event request form (including any marketing material) for approval prior to event for Brittany Rice and Felicia Marsh. Position is tenant-facing and in many cases the first line of the Property Management team that tenants will encounter. As such, this requires tenants to be able to primarily find TEM at any time in the building's Management Office located on the amenity level of the building of 1101 K. The TEM is an integral part of the Property Management (PM) team of the building which is headed by Brittany Rice. As such, TEM is responsible for the following related to the PM team: Attend all staff meetings, currently held on a bi-weekly basis. Attend all HqO meetings. Update Brittany Rice when leaving the Management Office for a meeting or leaving the Building. Lunch break should occur at the same time daily (time to be determined by TEM) whenever possible so that building tenants know the TEM will not be available at that time. Provide daily updates to Brittany Rice of meetings for the day as well as programs being coordinated. This can be in either a daily meeting or via email. Provide weekly reports to Brittany Rice and Bina Ghartimagar via email similar to Monthly Reports provided to Felicia Marsh. Setup and maintain a Shared Calendar for 1101 K Street for all reservations, meetings with tenants, tenant move-ins/move-outs, leasing tours, etc. Calendar for 1101 K to be shared with Brittany Rice, Bina Ghartimagar, Lisa Pannell, Felicia Marsh, Steve Brown, Anthony Johnson, and Matthew Thorne. All 1101 K calendar invites for reservations, moves, and leasing tours include Brittany Rice, Bina Ghartimagar, Lisa Pannell, Steve Brown, Anthony Johnson, Matthew Thorne, and 1101 K Security Guard as attendees. Check HqO reservations daily at a minimum and setup corresponding calendar invites in Shared Calendar. Manage tenant move-ins/move-outs to include coordinating with tenant contact, getting requisite Certificates of Insurance for moving company and tenant, coordinating tenant welcome gift and refrigerator stocking (if applicable), training tenant on HqO and Workspace, etc. Update HqO with all events and appropriate information. Provide Felicia Marsh or someone designated by Felicia with required tenant engagement reporting and other deliverables as they present themselves. These deliverables are: Monthly Tenant Engagement report due on the 15th of the month for the prior month. Update Tenant Engagement Google document monthly by the 15th of the month. Attend all Tenant Engagement meetings conducted by Felicia or her designee. Contribute to the quarterly event schedule for Linc and execute any responsibilities assigned accordingly.
