Johnson & Johnson is recruiting a Senior Administrative Assistant to support the Innovative Medicine R&D Finance department based in Titusville, NJ or Raritan, NJ. The Senior Administrative Assistant reports to the Vice President Finance, TA's (Therapeutic Areas), GD (Global Development), and GCSO (Global Commercial Strategic Organization). All interested candidates may be at any organizational level, both internal and external. The position supports additional Finance Directors within the R&D Finance team as needed, and provides occasional back-up support for other R&D Finance professionals including the CFO of Innovative Medicine R&D. Responsibilities: The Senior Administrative Assistant will provide primary administrative support to the VP Finance, TA's/GD/GCSO, the Immunology R&D Senior Finance Director, the Oncology Senior Finance Director, the Neuroscience Finance Director, and others as needed, and will be responsible to: • Know and adhere to the Johnson & Johnson Code of Business Conduct and all other requirements relevant to the role, and demonstrate behaviors consistent with Our Credo values • Be the public face of the executives supported, and represent them, the Finance Department, and the Company professionally and effectively in all interactions • Be fully aware of and current with the supervisors' responsibilities • Communicate effectively with internal and external partners at all levels, including on confidential and critical matters • Perform administrative tasks for R&D Finance Executives and their teams, including: • Proactive and thoughtful management of executives' calendars in Microsoft Outlook • Coordinate Finance Leadership Team meetings, agendas and presentations • Schedule and coordinate meetings and conferences, including conference rooms and necessary technology and support as needed • Track global Innovative Medicine R&D Finance organizational changes while maintaining org charts and multiple distribution lists • Organize thoughtful, logical and efficient travel arrangements for both international & domestic travel, including flight, hotel & transportation • Process monthly expense reports in compliance with J&J policy • Assist CREDO teams in planning and coordinating full Innovative Medicine R&D Finance team meetings and events • Work closely with other administrative support within Innovative Medicine R&D Finance and business partners • Act as delegate for Titusville neighborhood, managing seating for locally based team and visitors, working with other neighborhood delegates and building personnel • Effectively manage workload through critical deadlines and shifting priorities • Greet and escort visitors as required • Demonstrate strong attention to detail and follow-through on all assigned tasks • Appropriately handle documents and matters of a highly confidential nature with discretion • Handle additional responsibilities as required• A minimum of a High School diploma is required, Associate's degree is preferred • A minimum of 4 years of experience providing administrative office support to senior level leaders is required • Knowledge of J&J's Innovative Medicine business is preferred • Experience preparing travel arrangements for international & domestic travel, including flight, hotel & transportation is required • Proficiency in Microsoft Office programs is required • Strong interpersonal skills, attention to detail and the ability to exercise discretion and sound judgment are required • Must be a self-starter with ability to work independently in the absence of supervisors, and to multitask and prioritize workload against critical deadlines and shifting priorities • Ability to anticipate stakeholder needs without direct instruction and be proactive in addressing them is required • Occasional overtime may be required • Must be able to travel up to 10% of the time to domestic destination The base pay range for this position is $50,400 to $80,900. This job posting is anticipated to close on June 26, 2024.
