SUMMARY: Responsible for scanning and/or indexing all incoming program-related correspondence. Provides clerical support to various management staff. Serves as the back-up receptionist as needed. DUTIES AND RESPONSIBILITIES: Performs clerical duties as needed, such as: typing, filing, sending, retrieving and routing incoming faxes, photocopying, processing incoming and outgoing mail. Receives, sorts, and routes mail to appropriate personnel. Handles outgoing mail/packages (i.e. uses postage machine for letters, calls couriers and issues necessary courier paperwork) and scans daily mail as appropriate; ascertains its importance and follows office protocol. Monitor postage balance and generate replacement requests. Scanning and processing of incoming mail. Treats co-workers with courtesy and fosters a spirit of teamwork. Adheres to the requirements of the quality management system as applied to this position. Other duties as assigned. QUALIFICATIONS: High school diploma or equivalent. Additional education desirable. Some business/secretarial correspondence classes preferred but not required. Two years’ experience in a professional office environment, performing customer service, clerical and administrative functions preferred. Knowledge of and ability to use system of records, i.e. Visual Homes, Emphasys, Word, Excel, etc. COMPETENCIES: Problem Solving - Identifies and resolves problems in a timely manner; Gathers and analyzes information skillfully; Develops alternative solutions; Works well in group problem solving situations; Uses reason even when dealing with emotional topics.
