Online and Satellite Program Coordinator Literacy Minnesota seeks a learning center coordinator to support morning in-person programming at satellite locations and online programming. The Online and Satellite Program Coordinator is responsible for the development, maintenance and implementation of systems and processes related to the daily activities at Literacy Minnesota’s online synchronous class offerings, and satellite programs. Satellite programs are Literacy Minnesota classes that take place outside of our St. Paul and Minneapolis campus locations and may include workplace literacy, library, or other community partner classes. Satellite programming may be volunteer or teacher led classes. These areas of responsibility for adult education programming include but are not limited to: Student outreach and recruitment Volunteer outreach and support Student lifecycle management, from intake to exit Class scheduling Representing Literacy Minnesota to potential and current partners This position reports to the Learning Center Manager and supervises volunteers and/or AmeriCorps service members. This role regularly collaborates with other Open Door staff members. Work environment consists of a typical office environment. Time spent on the computer is approximately 75%; time spent on phone is approximately 25%. This position will require regular on-site attendance. Regular travel between Open Door locations, satellite program locations and to the Literacy Minnesota administrative office may be required, as well as occasional travel to a variety of locations within the metro area. This is a full-time, benefits-eligible, hourly position. The core schedule will typically be 9:00 – 5:30. Evening availability may be required on an ongoing basis to support evening satellite programming. This position is benefits-eligible and will accrue Paid Time Off (PTO) and be eligible for paid holidays. Student Support and Education Program Management: Comply with all ABE accountability requirements; complete intake forms, Personal Education Plans, and other necessary documents for each adult learner. Conduct pre-testing for incoming participants, and ongoing or post-testing using CASAS, TABE, ABLE, or other approved tests. Coordinate testing events for online or satellite sites at least quarterly, and/or at the request of instructional staff and Learning Center Manager. Follow communication processes and procedures to relay relevant information to volunteers and learners, in collaboration with program staff. Maintain accurate information in SID database, including student hours, attendance, and assessment data. Enter student achievements and new enrollments. Generate timely, accurate reports as requested and maintain complete and accurate records for all courses taught. Help maintain and improve intake, placement and follow-up procedures to benefit adult learners. Maintain current participant files including protection of confidentiality. Collaborate with volunteers, Family Navigators, and other staff to refer students to navigation services. In partnership with Navigators, build knowledge of community resources and refer students to appropriate outside resources for non-school related needs. Work with caseworkers and social services to complete necessary paperwork for learners as needed. Satellite and Online Program Management Work with staff at partner class locations to ensure all logistical needs are met Develop implementation plans for new satellite site classes Act as point of contact for satellite site staff members In cases of emergency or satellite site closure, ensure appropriate notice is provided to volunteers and participants. Maintain schedules of classes, volunteers and staff. Assist with staff and volunteer coverage as needed, by teaching, assisting, and/or recruiting additional help. Market and raise awareness of online and satellite site programming and, under direction of Marketing, Learning Center Manager and other staff, attract participants using a variety of methods including online and in-person recruiting. Volunteer Management: Represent Literacy Minnesota to volunteers (and potential volunteers) and serve as primary point of contact for online and satellite class volunteers Ensure volunteers complete all required onboarding processes and training, with support of Volunteer Training Department and Open Door Volunteer Coordinator. Assist Volunteer Coordinator to determine appropriate placement of volunteers, balancing program needs, volunteer preferences, and skill sets. Collaborative Leadership Practice Collaborate with staff across Open Door sites and Literacy Minnesota locations to ensure efficient and cohesive systems and programming. Work closely with Open Door staff on site and across the agency to coordinate assessment and instruction and to share relevant resources and expertise. Attend monthly Learning Center meetings, staff meetings and other meetings as requested. Community Ambassadorship: Outreach, Communications & Marketing Represent Literacy Minnesota at community events Engage with external partners to build recruitment pipelines for new program participants Develop new relationships with potential satellite partners through informational meetings, emails, and phone calls. Other Support organizational DEI goals by fostering an inclusive environment, and actively participating in and achieving organizational and personal DEI goals. Participate and foster a culture of life-long learning for participants, volunteers and staff. Required Qualifications: Bachelor’s Degree and one or more years of experience in program coordination. Equivalent combination of education and experience also excepted (for example, four years of related experience in place of post-secondary education). Experience working with people from diverse cultures and communities. Attitude of life-long learning and development. Strong communication skills. Ability to prioritize tasks based on urgency and importance, and move quickly between multiple tasks. Excellent organizational skills and keen attention to detail. Proficient with basic internet, email, and software programs. Demonstrated DEI-focused work style, including engagement in organizational and personal DEI goals. Preferred Qualifications: Bachelor's Degree in Education or equivalent combination of education and experience Bilingual or proficient in two or more languages, particularly Spanish or Somali Valid driver’s license. Experience coordinating non-profit programming, especially in an education, refugee, or immigrant focused non-profit. Community organizing or recruitment experience.
