Job Summary Act as the primary administrative support for a school Chair providing office related services including correspondence and report preparation, maintaining files, meeting arrangements and related functions. May be responsible for setting employee goals, assessing employee performance and providing feedback, and making pay recommendations. This position will interact on a consistent basis with: Chair and Associate Chairs, Dean, School faculty members and staff, students and visitors. This position typically will advise and counsel: NA. This position may supervise: assigned office staff. Responsibilities Job Duty 1 - Manage calendar, coordinate meetings, make travel arrangements and plan events Job Duty 10 - Perform other related duties as assigned. Job Duty 2 - Prepare correspondence and reports; may assist in collecting statistical data, conduct analyses, report preparation and presentations Job Duty 3 - Maintain office filing system Job Duty 4 - Provide administrative support to Associate Chair(s), as directed Job Duty 5 - Assist in coordination of administrative tasks of faculty searches Job Duty 6 - Make travel arrangements and process travel-related reimbursements Job Duty 7 - Assist with logistics of conference planning, seminars, special school events and development activities Job Duty 8 - Process HR paperwork for research faculty new hires and department affiliates; immigration paperwork Job Duty 9 - May coordinate recurring administrative processes in support of the chair which may include administrative aspects of re-appointments, promotions and tenure, etc. Required Qualifications Educational Requirements Technical Diploma, Associate's Degree or equivalent combination of education and experience Other Required Qualifications Overnight travel required for project delivery; flexibility in on-site daily service delivery hours (due to client shift schedules, project requirements). Required Experience Four to six years of job related experience Preferred Qualifications Preferred Educational Qualifications Bachelor's Degree Knowledge, Skills, & Abilities SKILLS This job requires working knowledge of the administrative processes and practices employed in a higher education academic office. Within this environment skills in event planning, organization, communications and customer service are required as is the use of office and specialized computer applications. More information on these policies can be found here: . Other Information The position will provide administrative and operational support to the Chair of the School of History and Sociology. This includes coordinating the School Chairs calendar, assisting the Chair in maintaining School records and data including confidential information, planning and executing events and hosting of visitors in collaboration with other School staff, interacting with guests and visitors as institution administration personnel, faculty members, and staff. This position will provide administrative support for all matters relating to faculty Reappointment, Promotion, and Tenure (RPT) as well as assist the chair with coordinating faculty committee assignments and peer-review teaching evaluations. This position will serve as the primary contact with the campus and external community on behalf of the Chair of the School of History and Sociology. The position will be expected to maintain a high level of confidentiality, administrative knowledge, and the ability to work collaboratively and communicate effectively. Chair Support Manage the School of History and Sociology Chair's calendar (appointments, schedule, Doodle Polls) Collect and maintain data, reports and records for the School Maintain School Chair's filing system Prepare reports, presentations, or correspondence Maintain updates to the School Handbooks Attend all faculty meetings and maintain meeting minutes and records Coordinate travel arrangements and submit Travel Authorization & Reimbursement Requests Provide classroom preparation Other duties as assignedFaculty Affairs Collect and maintain faculty annual reports and process annual performance evaluations Assist the Chair, RPT-Committee Chair, and faculty in matters related to promotion, tenure, critical reviews, and post-tenure reviews, including the Institute's promotion and tenure software PROMOTE Collect and maintain records of peer review teaching evaluations Maintain records of faculty service activities Assist with coordination of administrative aspects for faculty searches Assist the School Chair with other faculty affairs matters as assignedOutreach and Event Support Assist the School Chair with development communications and reports Support the School Chair and faculty with publicity and outreach activities and efforts Maintain alumni database at direction of the School Chair Manage and/or support the School of History and Sociology's internal calendars Support or lead visitor arrangements and agendas Create and/or coordinate the development of flyers/promotional materials for a variety of activities Assist the School Chair and School staff with other outreach and event support as assigned
