We reward our employees with a team oriented work environment, competitive salaries, and a comprehensive benefits program.General Statement of Duties:The Legal Secretary is responsible for administrative support in the Firm's Litigation Department.Duties & Responsibilities: * Provide administrative support to litigation attorneys in a fast-paced, high-volume practice * Professionally handle confidential, privileged, and sensitive information, and ensure that day-to-day support for attorneys runs smoothly and effectively * Create calendar reminders for docket and other deadlines * Ability to draft, revise, and proofread documents * Prepare, file, and serve (electronically or non-electronically) pleadings and correspondence * Maintain, organize, and manage electronic and paper client files * Assist in preparing material/binders for hearings, depositions, trials, mediations, etc. * Assist with attorney timekeeping (knowledge of DTE is a plus) * Prepare conflict checks and engagement letters; open new client/matter files * Utilize records management software for records requests and retention/disposition (knowledge of FileTrail is a plus) * Assist attorneys with preparing and distributing monthly invoices; communicate with accounting department and clients regarding billing matters * Support attorneys with maintaining calendars and contact lists, as requested * Coordinate all business-related travel arrangements, including submitting all business-related expenses for reimbursement on behalf of the attorneys * Ability to operate standard office hardware (including computers, photocopiers, printers, and scanners) and software to effectively and efficiently perform job duties * Perform word processing duties as required * Exhibit sound judgment, maintain a courteous and service-driven demeanor, provide a high level of service, and display a helpful, proactive, and professional attitude when interacting with clients, opposing counsel, other parties, attorneys, staff, and any other contacts - Support and cultivate these standards. * Maintain familiarity with legal terminology, federal and state agency rules, electronic filing protocols, and basic legal procedure * Display initiative in learning new skills and in expanding existing skills through self-directed development and Firm-sponsored training programs, and in sharing knowledge with others in the Firm * Perform other tasks, duties, and projects as assignedEducation & Qualifications: * Bachelor's Degree or equivalent work experience required * 5+ years of experience supporting attorneys in commercial litigation * Knowledge of state and federal litigation deadlines * Strong skills with document preparation (styles, formatting, etc.), and familiarity with document management databases (iManage DeskSite) * Proficiency in e-filing in federal and state courts * Superior organization skills to handle multiple tasks simultaneously * Keyboarding skills of at least 65 wpm * Advanced skills in MS Word, Excel, Outlook and PowerPoint * Ability to communicate effectively with attorneys, management, and support staff, including acting as a liaison between and among internal departments and outside agencies * Ability to work within a team environment as well as independently * Use initiative and creativity to research solutions to, then solve, problems * High level of discretion and ability to maintain confidentiality related to clients and mattersAdditional Information:Supervisory Responsibility - This position does not have any direct reports.Work Environment - This position operates in a professional office environment.Position Type/Expected Work Hours - This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5:30 p.m., with one hour for lunch.
