The University of Iowa Community Clinics (UICC) is seeking a Health Care Services Supervisor/Assistant Managerto support our Offsite Clinics. In this pivotal role, you'll play a vital part in the day-to-day management of medical clinics and staff. Your responsibilities will span several critical areas. This position assists in overseeing the operations of medical clinic(s), ensuring smooth functioning. Collaborating with healthcare staff, you'll foster effective communication and coordination. Staff management, including scheduling, performance evaluation, and support, will be a key focus. Additionally, this position will serve as a liaison between patients and healthcare providers, ensuring patient needs are met. Your role involves addressing patient inquiries, managing templates, and enhancing patient experience. Lastly, you'll work closely with third-party vendors and enterprise partners to optimize clinic operations. Coordinating resources, logistics, and administrative processes will be essential to the success of the site(s).Position Specific Responsibilities:HR Management: * Participate in the recruitment and selection process of staff. * Develop and implement strategies for staff performance management. * Ensure adherence to organizational policies, procedures, and regulations. * Provide constructive feedback and support HR initiatives to foster a positive work environment. * Assure that staff is compliant with UI policies and procedures. Financial: * Gather and analyze financial and productivity data to inform decision-making. * Assist in budget development, resource allocation, and cost containment efforts. * Assess patient grievances leading to financial adjustments and present them to senior leadership for approval. * Create strategic business proposals concerning new patient care initiatives, encompassing service expansion, provider addition, and establishment in new locations. Review clinic visits and make changes to ensure budget targets are being met. Operations: * Ensure compliance with standards of care, regulatory requirements, and safety protocols. * Lead quality assurance initiatives to enhance patient care and satisfaction. * Collaborate with staff to meet established goals and objectives. * Oversee and direct the onboarding process for new providers * Collaborate with various departments at UI Healthcare. * Address patient complaints with the Office of the Patient Experience * Ensure department compliance with accreditation standards and recommend improvements. * Monitor Riskonnect submissions and respond as needed. * Identify QA priorities and trends in coordination with nursing leadership and Medical Director. Patient Care/Services Deliver: * Evaluate physician scheduling templates and propose recommendations to enhance patient flow, reduce wait times, and boost efficiency for physicians and staff. * Gather, analyze, and format data for various reports, ensuring the cost-effectiveness and efficiency of clinic operations and productivity. * Enhance clinic workflow and efficiencies by ensuring staff operate at the highest level within their scope of practice. * Participate in promptly addressing patient complaints or concerns. * Review patient satisfaction reports regularly with leadership, stakeholders, providers, and staff. Identify recurring issues and devise improvement plans. * Staff frontline as needed. Planning and Goal Management: * Participate in the development of the offsite strategic plan. * Develop action plans to meet those goals Communications: * Foster productive relationships with faculty, staff, Department Administrators and DEO, Strategic Planning, Marketing and Communications, and UIHC patient care support areas. * Maintain regular communication with key stakeholders to optimize operations. * Address and resolve issues by effectively communicating with patients, families, and staff. Desired Qualifications: * Knowledge of the University of Iowa Hospitals and Clinics policies, procedures, and regulations. * MHA or MPH degree and/or 1-2 years leadership experience. * Ability to be self-directed and demonstrate excellent judgement in prioritizing multiple projects and assignments. * Commitment to customer and employee satisfaction. * Strong proficiency in analytical reasoning and/or budget management experience. * Ability to facilitate positive outcomes by collaborating and working in a team environment, establishing and meeting/exceeding department objectives and deadlines.
