Posting Title: HR Shared Services Specialist - HRIS Reports To: Manager, HR Shared Services & Talent ProgramsLocation: San Jose, California (Hybrid) Salary Range: $83,000 to $103,000 Final determination of a successful candidate's starting pay will vary based on a number of factors, including market location and may vary depending on job-related knowledge, skills, education and experience. With services like internal communications, marketing, talent management, employee relations, and total rewards, the People Team supports the nearly 4,000 employees at CEI who safely engineer and build complex commercial, data center and energy projects across the United States.ABOUT THE ROLEThe HR Shared Services Specialist will play a crucial role in maintaining our Human Resources Information System (HRIS). You will be responsible for ensuring data accuracy, system functionality, and providing support to HR and other departments in leveraging HR technology to enhance business processes.SCOPE:The HR Shared Services Specialist provides technical systems support. The HR Shared Services Specialist assists with system implementation, maintenance, data entry, and updates for HRIS and other HR systems. The HR Shared Services Specialist will also provide customer care support for HR applications.System Maintenance: Ensures HRIS data integrity and accuracy. Perform regular audits to identify and resolve data discrepancies. Collaborate with IT to troubleshoot and resolve system issues promptly. Data Management: Maintain the integrity of employee data within the HRIS. Update and maintain employee records, ensuring compliance with data protection regulations. Generate reports to support HR and business decision-making processes. User Support: Provide user support and training on HRIS functionality to HR staff and other end-users. Troubleshoot and resolve user issues, escalating as needed to ensure timely resolution. System Enhancements: Collaborate with HR Shared Services Manager and IT teams to identify system enhancement opportunities. Test and implement system upgrades, patches, and new features. Compliance and Security: Ensure HRIS compliance with data protection laws and regulations. Implement and enforce security measures to protect sensitive employee data. Documentation: Maintain thorough and up-to-date documentation of HRIS processes and procedures. Develop training materials and guidelines for end-users. Data Audits and Process Improvement: Audit and reconcile data inconsistencies. Assist in maintaining data integrity through automated data audits. Assist with process improvements by providing innovative solutions. System Maintenance/Training & Support: Develop user procedures, guidelines, and documentation. Assist in testing HRMS system upgrades or patches. Assist with troubleshooting and resolving systems issues. Provide support to end-users, troubleshoot issues, and offer solutions related to HRIS data and reporting. Assist with maintaining integrity and accuracy of data in JDE and other related-HR systems. Other duties as assigned. Compliance Reporting Prepare and fulfill regulatory and compliance reporting requirements. Fulfill data requests from the HR team and internal clients. Assist in key reporting initiatives and analytics projects required by leadership. Support internal and external audits by providing accurate and complete HR data. Collaborate with the HR Services team to understand reporting requirements and translate them into meaningful reports. Research and troubleshoot data issues to ensure data quality. Other ad-hoc reporting as needed to support the team. Complexity Works on problems of moderate scope where analysis of situations or data requires a review of a variety of factors. Exercises judgment within defined procedures and practices to determine appropriate action. Builds productive internal/external working relationships. Supervision Normally receives general instructions on routine work, detailed instructions on new projects or assignments. ABOUT YOU Demonstrated dependability and sense of urgency. Highly resourceful team-player with the ability to work autonomously. Proficiency with or the ability to quickly learn the organization's HRIS. Technology (specifically in HR) and Office applications (Outlook, Word, Excel, Powerpoint) Communications (written, verbal, interpersonal) Ability to work in a fast-paced and changing environment. Ability to respond to often changing business priorities with flexibility. Able to read, write, speak, understand and satisfactorily communicate with others in person, over the phone and via email Advanced time management and analytical skills. Solid technical background with understanding and hands-on experience. Knowledge of HR processes and some proficiency in HRIS systems and HR analytics tools Proven analytical and problem-solving skills Exceptional attention to detail Ability to understand complexities and nuances with reporting using different data sources and sharing the reports with different security groups. Effective written and verbal communication skills, including the ability to explain data and findings to a non-technical audience. Demonstrated ability to work autonomously and collaboratively in a team environment Ability to manage multiple assignments/projects and timelines Previous exposure to project-related activities through dynamic participation in system-related projects Ability to handle confidential and sensitive information with discretion and professionalism Self-motivated with solid organizational, planning and follow-up skills. MINIMUM QUALIFICATIONSAny combination of education and experience that would likely provide the required knowledge, skills and abilities as well as possession of any required licenses or certifications is qualifying. Education: Bachelor's Degree in Business Administration or similar related fields. HRIS certification (e.g., PHRi, SPHRi) is preferred.Experience: Two (2) years of data analysis experience, preferably in HR shared services operations management, HR program management.
