Job Description: The person in this position will support essential departmental operations, including, but not limited to, office administrative functions, staff on- and off-boarding, rental agreements, and financial reconciliations. Furthermore, they will schedule referees and manage game contracts for all intercollegiate home contests, while also providing occasional support for game operations and facility management. This position is partially funded through the two (2) year NCAA Division III Ethnic Minority and Women's Internship Grant. The hired intern must identify as an ethnic minority and/or a woman. For the purposes of the NCAA grant, racial ethnic minorities are described pursuant to the Federal guidelines of the Office of Management and Budget (OMB): American Indian or Alaskan Native (not Hispanic or Latino): A person having origins in any of the original peoples ofNorth and South America (including Central America), and who maintains tribal affiliation or community attachment. Asian (not Hispanic or Latino): A person having origins in any of the original peoples of the Far East, Southeast Asia,or the Indian subcontinent including, for example, Cambodia, China, India, Japan, Korea, Malaysia, Pakistan, thePhilippine Islands, Thailand and Vietnam. Black or African American (not Hispanic or Latino): A person having origins in any of the black racial groups of Africa. Hispanic or Latino: A person of Cuban, Mexican, Puerto Rican, South or Central American, or other Spanish culture ororigin, regardless of race. Native Hawaiian or Other Pacific Islander (not Hispanic or Latino): A person having origins in any of the original peoplesof Hawaii, Guam, Samoa or other Pacific Islands Location: Glenside Responsibilities : Provides frontline administrative support within the department, including processing financial documents in accordance with university procedures, managing digital record-keeping, organizing student-athlete surveys, coordinating missed class letters, and liaising with other campus partners. Manages all aspects of critical operations involving Human Resources, including coordination of full-time searches, onboarding of new staff, orientation of personnel, and off-boarding. Organizes logistics for key events, including departmental golf outing, annual awards reception, Athletic Hall of Fame program, featured speakers, and other programming. Assumes full responsibility for managing all departmental contracts, including, but not limited to rental agreements, game contracts, speakers, special events, and vendor relationships. Schedules referees and manages communications with game officials for all home intercollegiate contests. Manages all aspects of departmental purchasing card usage for staff members, including collecting receipts, reconciling expenses, and processing online approvals. Provides support relative to game management and facility supervision as assigned. Contributes to the overall success of the Athletics Department by performing all other duties and responsibilities as assigned, including administrative tasks, committee work, or representing the Athletics Department at conferences/meetings. Qualifications : Education: Bachelor's degree from accredited college or university is required. Degree work or demonstrated interest and familiarity in the areas of academic monitoring, leadership development, and diversity/inclusion preferred. Experience: Minimum of two years of progressive collegiate administrative responsibility is preferred. Previous experience working in intercollegiate athletics or related fields is preferred. Demonstrated leadership, vision, personnel, and management skills. Skills: Excellent organizational, communication, and leadership skills, whether dealing with individuals or groups, and an ability to work well with different constituents. Strong initiative, detail, and follow-up skills with student-athletes, staff members, and administration. Strong strategic thinking and problem-solving abilities. Ability to set and achieve or exceed goals and meet deadlines. Ability to learn and apply University policies and procedures to ensure operational compliance and reliable judgement. General computer knowledge with a proficiency in Word and Excel. Special Requirements: Ability to work a flexible schedule. Evening and weekend availability is required. Flexibility with an evolving work environment is important. Valid driver's license required. Ability to successfully complete a background check, motor vehicle check, and drug test. Current CPR, AED, and first aid certifications required. Training and recertification can be provided if necessary. Compliance with NCAA Division III rules and regulations required. Compliance with athletic conference rules and regulations required. Mission and Purpose of Grant This position is being supported by the two (2) year NCAA as part of the Division III Ethnic Minorities and Women's Internship Grant, which is designed to provide financial assistance to the division's member schools and conferences that are committed to enhancing ethnic minority and gender representation in entry-level, intercollegiate athletics administrative positions. As part of the grant, entry-level administrative positions should include exposure to a variety of the following areas: strategic planning; budget management; fundraising; campus and NCAA compliance; sport oversight; student-athlete welfare issues and initiative; academics; diversity and inclusion initiatives; and staff oversight/management Application Instructions : Applications must be submitted online through Arcadia's Human Resources portal to receive full consideration.
