Responsibilities:• Efficiently manage listings and contracts in a fast-paced real estate environment in Coral Springs, FL, US.• Verify and save accurate customer information in the CRM system, forwarding all paperwork to the office broker for compliance checks.• Meticulously track transaction activities in DotLoop, ensuring all documents have correct signatures and dates for smooth processing.• Oversee administrative tasks related to home buyer, seller, and rental transactions from Listing to Closing on Seller files and Contract to Closing on Buyer Files.• Coordinate inspections, appraisals, walkthroughs, and closings efficiently.• Provide support to sales agents, clients, and other parties by managing escrow-related paperwork and communicating with various entities like appraisers, title companies, insurance agencies, and mortgage lenders.• Maintain consistent communication with clients via phone, email, and text during the transaction process.• Regularly correspond with all third parties involved in the sale, such as Title, Attorney, and Lender.• Develop listing and contract timelines, send welcome emails, and share transaction videos with clients.• Assist in monitoring and ensuring completion of necessary vendor repairs for properties under contract.• Offer guidance and support to agents at all levels within the real estate industry.• Prepare and distribute Addendums as required for transactions.• Help organize Open Houses by preparing materials like flyers, sign-in sheets, floor plans, and upgrade/highlight sheets.• Accurately input MLS Listings for market visibility.• Coordinate property photos with the Marketing Department and sellers.• Assist in closing setup and handling sending/scanning of closing documents to Title if necessary.• Support various office duties to ensure smooth operations. Qualifications:• To be eligible for the Real Estate Transaction Coordinator role in Coral Springs, FL, US, candidates should possess a minimum of 2-5 years of real estate experience, either as a licensed Realtor or in positions like real estate assistant, listing manager, or transaction coordinator.
