The PMO BOD support staff will assist with an array of tasks; assisting DWM District Offices with the scheduling of DWM service crews responding to city‐wide water and sewer repairs, permitting, construction administration and communication and/or coordination with other city departments, agencies, elected officials, and City residents. District Repair Support The primary responsibilities of the district BOD support staff is to provide scheduling and monitoring of water and sewer repairs for DWM; coordinate and track applicable permits for water and sewer repairs; provide support within the DWM management team, including documentation, communications, reporting, and coordination. The BOD support staff will report to their assigned District General Superintendents, Superintendents, and their PMO Management. Most tasks assigned to the BOD Support staff will typically come from the District Management (such as the Deputy Commissioners, General Superintendents, Superintendents) and/or PMO Management. If a BOD support staff requires clarity or additional information to a task, they are directed to reach out to their PMO Management first. BOD Support staff for District Repairs will require the following DWM tools and training: EAM, SalesForce and Banner. In addition, staff will need training on the CDOT Permitting system (Hanson), 811‐dig and if possible, GIS. District Repair Support Tasks ‐ Working Hours for the first shift is 6am 2:30pm and second shift is 7am – 3:30pm. Responsibilities include but are not limited to the following:  Monitor SalesForce and EAM for emergency/new jobs to schedule for repairs  Schedule both Water and Sewer jobs for the upcoming week (70‐80 locations per district) or reschedule current work due to unforeseen circumstances  Request and monitor CDOT permits and 811‐dig tickets ‐ Requests are sent to Central Dispatch Center (Leak Desk)  Print out daily work order/location sheets and any other paperwork required for day and night crews – distribute to the repair crews  Update Water and Sewer repair work orders with required information and close work orders when repairs are complete  Create and/or maintain work orders for Barricades, 601’s, 803’s, Restoration and Equity Lead Service Lines as required  Create, schedule and close BES Sewer work orders  Monitor/audit certain fields when work order paperwork is returned (comments, flushing flier, service line, etc)  Monitor EAM for incomplete work orders requesting tree/stump removals or jobs on hold due to conflicts  Review weekly 311 Integration Work Order Status Out of Sync ‐ update or correct as needed  Update monthly CDOT PCO Agency Tasks log  Request IDOT Emergency Permits  Answer calls or emails regarding all of the above – calls are typically from General Superintendent, Superintendent, ADS, foremen and ECD’s but can also come from alderman offices, homeowners, utility locators, etc.  Ensure repairs within CBD are following additional protocols required  Send out daily Night Crew Locations via email to a required DWM distribution list for information  Assist District management with Blitz programs (cleanings, pds, etc.)  Provide reports from EAM to District management when requested  Creating, maintaining, and closing Lead Service Line Public/Private as required (NEW TASKS) o Draft workflows have been developed however they are still in progress as things are in temp stages or being further developed o Bi‐weekly LSLR Break/Leak meetings are being held to report/address issues and collaborate o As of now, these new tasks are taking the support staff about 2‐3 hours of day to create the work orders or update/complete. New Construction Support The primary responsibilities of the New Construction support staff is to apply and monitor CDOT permits and 811‐dig tickets, provide construction administration support within the DWM management team and EAM “help‐desk” support. The BOD New Construction support staff will report to the Superintendent of Construction and Maintenance, General Superintendent, Area Engineer, and their PMO Management. Most tasks assigned to the BOD Support staff will typically come from the General Superintendent, Area Engineer, and/or their PMO Management. If a BOD support staff requires clarity or additional information to a task, they are directed to reach out to their PMO Management first. BOD support staff for New Construction will require the following DWM tools and training: EAM, Champ and Banner. In addition, training on the CDOT Permitting system (Hanson) and 811‐dig. Staff will need to be granted specific access to Hanson to act on behalf of DWM. New Construction Support Tasks ‐ Working Hours are 7am – 3:30pm. Responsibilities include but are not limited to the following:  Create Alderman Letters and Public Outreach Packets for IH Water and Sewer Projects  Create and Monitor CDOT permits and Dig (811) Tickets for IH Water and Sewer Projects  Monitor Requisition Forms/Missing Parts for Water and Sewer  Monitor APRF’s for Sewer  EAM Support Administrator o New Construction EAM Help Desk support for Water and Sewer (trouble shooting Issues) o EAM and Champ Training for Water and Sewer DWM Staff, Inspectors, etc. o Change Crew Switches in EAM for Water and Sewer o 601s – create initial WO o Corrective Work – create initial WO  DWM Backup Support on a as needed basis o Truck Haul o Requests for Barricade, Porta Potty, etc. o Other as directed by Superintendent of Construction and Maintenance  Misc. administration tasks  Possibly creating, maintaining, and closing Lead Service Line Public as required Powered by JazzHR
