Position Overview: The program manager is responsible for overseeing the daily operations of our robust, multidisciplinary,and rapidly expanding integrated behavioral health program, currently embedded in four primary care locations and two specialty practices throughout CMA. The program manager works closely with the integrated behavioral health leadership team comprised of a psychiatrist and psychologists, as well as with behaviorists located across various in-office and virtual locations. Daily responsibilities also include serving as a liaison for medical providers, practice managers and staff members via in-person and virtualtouch-points to ensure quality, cost-effective, and safe delivery of behavioral health services to patients for general healthcare needs. The program manager must be able to adapt the altitude of their communications to meet needs for primary care as well as specialty medical / surgical teams in supporting the effective provision of a diverse range of embedded behavioral health services as a part ofwhole-person care. The program manager is responsible for working collaboratively with their direct supervisor to oversee the administrative aspects of the services, including budgeting and financial monitoring through self-maintained and organization-based data sets, as well as assessing for program expansion and implementation in new locations using strategic needs assessments. The program manager will partner with key stakeholders to successfully onboard new behaviorists to the team and engage in identified state-based as well as national initiatives to help support program growth. The integrated behavioral health program is expected to expand to 1-2 additional locations annually, across the next 5 years! The Cayuga Integrated Behavioral Health (CIBH) program is a growing primary care-level program delivering evidence-based interventions for a large variety of patients with emotional and behavioral problems commonly seen in primary care. CIBH aims to expand access to high-quality, affordable, and evidenced-based mental health care across the Cayuga Health System outpatient care network. Learn more about the program here: https://cayugahealth.org/services/primary-care/behavioral-health/ This is a 32 hour, 0.8 FTE, position which is eligible for a hybrid work arrangement. New employees are expected to work on-site during an initial training and onboarding period. What you'll do: Prepares regular reports for internal review and external stakeholders, highlighting program achievements and areas for improvement. Organizes and facilitates regular meetings with stakeholders to ensure smooth implementation of integrated behavioral health services. Collaborates remotely and in-person with internal teams and external partners to address challenges and optimize the implementation process. Conducts Needs Assessments in collaboration with practice managers to prepare new sites for program readiness. Leads the implementation process for new sites, ensuring adherence to program guidelines and standards Assists in developing comprehensive training plans for new site staff, covering clinical protocols, documentation procedures, and best practices in integrated behavioral health. Assists in development, facilitation, and delivery of training sessions for staff at existing sites to enhance their knowledge and skills in providing integrated behavioral health services, as informed by clinical team members. Evaluates training outcomes and provides ongoing virtual and elbow-elbow support for practices during the program implementation phase. Liaisons with Marketing and Communications to develop and revise digital and traditional media to promote the program. Prepares business case for new services and/or clinical pathways to support program growth. Manages provider schedules and templates, continuing medical education funds, timecards, and expenses. Maintains a current awareness of third-party reimbursement regulations and contractual arrangements with HMOs and PPOs, especially as it relates to integrated behavioral health. Collaborates with the revenue cycle team to identify and resolve issues timely. Supervises staff, to include identifying and delegating relevant program tasks within the scope of supervisee's role Minimum Requirements: Bachelor's degree and 2-4 years of relevant professional experience or an equivalent combination of experience and education. Will consider relevant work experience in lieu of a degree. Individual must show initiative, anticipate needs, and take action when appropriate. Excellent interpersonal and communication skills and experience in working with a hybrid team are necessary. Must be approachable and accessible to others. Demonstrated ability to work effectively both individually and cooperatively as a team player and ability to cultivate and develop inclusive and equitable working relationships. Demonstrated ability to manage, organize, and operate routine and non-routine duties independently or with minimal oversight. Computer skills and working knowledge of software programs such as PowerPoint, Excel, Word, Outlook, Zoom, and Teams; ability to learn new software programs, such as iSolved, Netsuite, and Adaptive. Physical Requirements: Repetitive use of hands and fingers (e.g., use of computer keyboard); May require lifting and carrying light loads (up to 40 lbs), including boxes, equipment, IV solutions and stooping and kneeling (e.g., to pick up items from the floor, to remove and replace items on lower shelves and to file documents in lower file drawers); Assisting patients to transfer and ambulate, Sitting, walking, or standing for long periods of time may be necessary.
