As a Front Office Administrator, you will play a pivotal role in maintaining an efficient and well-organized office environment. You will oversee day-to-day office operations, manage administrative tasks, and provide essential support to ensure the smooth running of the office. The ideal candidate is a detail-oriented, organized, and proactive professional with strong leadership and problem-solving skills. Key Responsibilities: Office Operations: Oversee daily office operations to ensure efficiency, including office supplies, equipment maintenance, and office space organization. 2. Phone System Management: Oversee the office's phone system, ensuring that calls are efficiently answered and directed. Implement call routing and voicemail systems as needed to enhance call handling and communication within the organization. 3. Administrative Support: Provide administrative support, including scheduling meetings, managing emails, and handling correspondence. 4. Project Support: Assist in the execution of projects that are in support of corporate departments or the overall company, ensuring that project goals are met efficiently and effectively. 5. Employee Support and Corporate Oversight: Provide guidance, training, and motivation to administrative staff to ensure they are well-prepared and motivated in meeting their job responsibilities within the corporate office. 6. Financial Management: Assist in managing office budgets, expenses, and financial records. 7. Vendor Relations: Coordinate with external vendors, suppliers, and service providers to ensure timely delivery of services and supplies. 8. HR Support: Assist in the onboarding process for new employees, maintain HR records, and oversee office policies and procedures. 9. Event Planning: Organize and coordinate company events, meetings, and conferences, both on-site and off-site. 10. Health and Safety: Implement and enforce health and safety standards and ensure compliance with regulations. 11. Documentation and Record-keeping: Maintain and organize important documents, records, and files. Qualifications and Skills: Bachelors degree in business administration, Management, or a related field (preferred). Proven experience in office management or a similar administrative role. Excellent organizational and time management skills. Strong leadership and communication abilities. Proficiency in Microsoft Office Suite and office software. Knowledge of office equipment and systems. Strong problem-solving skills and a proactive approach. Attention to detail and accuracy. Exceptional multitasking abilities.
