Job Description Job Summary The Customer Relationship Management (CRM) System Specialist plays a key role in supporting the recruitment and enrollment strategies of the Admissions Office, specifically by supporting the daily functions of the Slate CRM tool within the Admission Office. This role will serve as a Slate generalist with specific responsibility for functionality around Reader, Queries & Reports, and Events. In addition, this role will be assigned a small application reading territory in order to support the application reading process.Take appropriate actions to support a diverse workforce and participate in the College's efforts to create a respectful, inclusive, and welcoming work environment. Essential Functions Admission CRM System Functionality (50%) With guidance from the manager and in partnership with the Slate Co-Captain, support the day-to-day functionality of the CRM system.Build, update, and maintain Slate reader and workflow functionality for admission reading processes: undergraduate admission (first year, transfer, and Ada Comstock transfer), Athletic reading process, and QuestBridge. Build and maintain reports related to reading process.In alignment with admission office priorities, provide comprehensive Slate support for special programs (e.g., Smith's Women of Distinction program, Precollege). This will include building and updating applications, Reader and workflow functionality, event registration forms, and post-event surveys. Build and maintain reports related to special programs process and participants.Provide comprehensive Slate support for Office of Admission recruitment travel, including: building and maintaining event registration templates, event note forms, and post-event surveys.Contribute to the annul updates and testing of external application platforms: Common Application, Coalition Application.Provide Slate Support for Office of Admission events including: creating and maintaining event templates and registration forms, maintaining event data, providing lists of registrants, and building and maintaining event reports.Provide technical support and training to new staff in CRM processes and procedures regarding Slate.Develop and maintain user manuals to support training and development for Admission Officers.Evaluate Slate forums and communications to update the Slate Team on any known issues. Reporting (30%) Develop and manage reports and queries to support the college's operational and enrollment goals.Build queries, reports and tools to provide relevant data to the admission, student financial services, institutional research offices, other relevant campus constituents and external vendors.Build and maintain reports to support the reading and selection strategy.Build and maintain annual and ad hoc reports for external constituents (e.g., Trustee Reports, annual report reports, Common Data Set, IPEDS, US News, COFHE).Ensure quality and accuracy in queries used for outreach and communication with prospective students. Application Reading (10%) Read applications and evaluate the admissibility of candidates for admission to the college. Other Functions General (10%) Serve as leading member of the Admission Office Slate team.Stay abreast of new Slate features through Technolutions trainings, chat forums and documentation.Help admission staff with questions and provide informal troubleshooting/trainingAll employees are expected to participate in the College's efforts to create a respectful, inclusive, and welcoming work environment. Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses) Bachelor's Degree required. Solid understanding of technology including familiarity with databases such as CRM software, Google Workspace/Microsoft Office and remote work tools such as Zoom. Resourceful at problem-solving, analytical thinking and troubleshooting. Ability to multi-task and work to a deadline. Ability to work independently and with superb attention to detail. Team player with positive attitude. Ability to handle confidential information with respect and discretion.Experience working with individuals from diverse backgrounds. Preferred Qualifications Familiarity with admissions CRM Slate by Technolotions. Experience working in admission or a similar fast pace work environment. Skills Demonstrated organizational and time management skills including the ability to prioritize multiple, concurrent tasks with demanding timelines. Excellent customer service and communication skills, both verbal and written. Ability to meet frequent deadlines.
