US… A rapidly growing San Diego-based non-profit that is seeking an Assistant. Duties may be administrative and project-based and include scheduling travel, arranging meetings, handling of information requests, research, report preparation and correspondence and liaising with senior management and board members. The position requires a high degree of professionalism, diplomacy and discretion in handling confidential information, initiative, and independence in supporting the CEO on a wide variety of tasks. As an Assistant, your primary responsibility is to provide comprehensive support to the CEO, their family, and Chief of Staff, enabling them to focus on their core responsibilities and maximize their productivity for the organization. This role requires a high level of organizational skills, discretion, and the ability to handle a wide range of tasks with efficiency and professionalism. The ideal candidate is highly self-motivated, highly intelligent, professional, and capable of managing an extensive workload and prioritizing multi-layered tasks in a fast-paced military-centric environment. The Assistant will be encouraged to take on bigger and better responsibilities once a baseline of responsibility, accomplishment, and trust has been established. Duties and Responsibilities: Run errands, order and pick up items, return items. Drives vehicles in when they need to be serviced/modified. Plan and ensure meals are planned for and prepared. Take animal(s) to vet/hospital for appointments. Organize and label items as required/directed Assist with event coordination and special events. Clean-up as required. Maintain inventory on identified items. Once trained, maintain system(s)as directed. Perform admin tasks (scanning, shredding, filing, organizing, labelling, naming, etc.) Other duties as may be assigned. Qualifications & Work Experience: To perform this job successfully, the candidate must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. 3+ years of experience in a high-level administrative assistant/personal assistant/assistant role to a high-level executive. Flag Aides, Navy Yeoman, and/or other Administrative Rates/specialties are ideal due to the military-style our company holds. This position does have a veteran hiring preference. Have a valid driver’s license, reliable transportation, and can obtain a security clearance. Salesforce experience preferred but not required. Strong working ability of Microsoft Office products (Excel, Word, PowerPoint, etc.) Be able to lift 30 pounds unassisted. Reach items located 5 feet tall or on the ground. Excellent verbal and written communication skills. Superior organizational skills including attention to detail and time management. Ability to establish and nurture collaborative relationships at all levels, and identify needs and deliver solutions that achieve employee, team, and school goals and satisfaction. Ownership & Drive— ability to work in a fast-paced environment with strong follow-through and a focus on owning the outcome. Ability to effectively partner with leadership and colleagues to ensure deadlines are met, while navigating multiple priorities and deliverables. Dependability–Has exhibited the quality of being reliable and flexible to be available when needed. This 'something' can be a product, a service, one's skill set, or a team's way of working. Important Notes Position Details: This is a full-time hourly (non-exempt) position (40+ hours/week). Because of the nature of support, this position will work 50-60 hours per week, and has a general schedule of 8am-7pm Monday through Friday, and 10am-7pm Saturday, 12pm-7pm on Sundays. There is a tremendous amount of overtime available to the candidate selected. Pay: The range of pay for this California-based position is $18.00-$26.00 per hour. The actual compensation offer will carefully consider a wide range of factors including your skills, qualifications, experience, and location. Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; sit; walk; use hands and fingers to handle or feel items. Must be able to reach items up to 5 feet high and on the ground with hands and arms. The employee is regularly required to push, move, lift or otherwise manipulate items that are up to 30lbs. Work Environment: The employee works in an office/administration building in an urban industrial neighborhood. Other areas within the school are mixed use such as classrooms, welding, and machining areas. Employee may have additional environmental hazards such as: chemical, electrical, flammable, or mechanical in nature.
