COMPANY OVERVIEW Spectrum Healthcare Partners is Maine’s largest multi-specialty, physician-owned and directed professional organization and is comprised of over 200 physicians practicing in the areas of anesthesiology, orthopaedics, pain management, pathology, radiation oncology, radiology, and vascular & interventional services. Spectrum provides services at many of Maine’s hospitals throughout the state and in eastern New Hampshire. The average hourly rate of pay is between $22.00 - $25.00. POSITION SUMMARY Provides medical office support to the Southern Radiology Division to include direct clinical support to the Company’s Interventional Radiologists. Assists with office procedures, greeting patients, rooming patients, answering telephones, , updating and maintaining patient medical records, handling correspondence, scheduling appointments, communicating, and arranging for pathology specimens for laboratory services pickup . Functions within the guidelines of the Company’s corporate compliance plan. SUPERVISORY RESPONSIBILITIES (if any) None ESSENTIAL FUNCTIONS Manages patient information and record /film retrieval/disbursement for patient’s medical records Performs all insurance coordination, scheduling, referrals, and prior authorizations required for patient vein procedures in clinic including post op vein procedure imaging Performs chart prep in advance of patient(s) arrival (all demographics, insurance information for telehealth appts, referring physician/PCP information, including reports/images/office notes). Ensures all required paper work /EMR record is completed by the patient and physician including consents and registration paperwork EHR clinical tasks queue-Facilitates patient scheduling for in clinic appointments including managing appropriate paperwork and chart creation. Serves as a communicator to patients regarding pre- and post-visit instructions developed by the physician, on an as needed basis Facilitates incoming and outgoing correspondence at the Spectrum Medical Office Schedules urgent diagnostic imaging studies. Performs clinical duties to include taking and recording vital signs; explaining treatment procedures to patients; preparing patients for examination; preparing specimens for laboratory-monitoring result notification and assisting with procedures or examinations including Thyroid biopsies, soft tissue biopsies, Thoracentesis, Paracentesis, EVLT, Sclerotherapy and Phlebectomy. Maintains examining room equipment and supplies; including coordinating with inventory manager to be sure supplies are on hand. Maintains appropriate inventory of office supplies Keeps the Spectrum Medical Office and examining rooms neat and clean Calls in prescriptions to pharmacy as directed by the physician Communicates consistently and timely with staff members and patients Maintains appropriate level of Company and HIPAA-related confidentiality Manages the incoming electronic fax inbox and disbursement of incoming referrals, test results, pharmacy, and physician PRIMARY DUTIES & RESPONSIBILITIES Assists with special projects as assigned and general office duties. Attends meetings as assigned, and participates in educational activities to keep skills up to date Demonstrates professionalism at all times Keeps abreast of current issues involving patient care or practice issues by attending and participating in department, team, and practice meetings Displays cooperative behavior and interacts positively and effectively with others to promote a team environment Performs other duties necessary to maintain the overall efficiency and continuity of the clinic Is proactive in identifying, reporting, and participating in the resolution of any potential or actual patient safety issues Updates and learn various office software support applications Remains flexible for other requested and assigned duties QUALIFICATIONS High school diploma Previous experience working with patients in a hospital or healthcare clinical environment Current BLS required Knowledge of basic medical/hospital physician operations, with radiology experience helpful High-level of accuracy and efficiency in scheduling of patients and procedures Willing and eager to be trained and learn to perform clinical tasks Excellent communication and interpersonal skills necessary for interacting with patients, physicians, supervisors, and other staff Skill in time management, prioritizing and medical care coordination Ability to organize and accomplish tasks, and have the flexibility to meet changing demands on daily basis Ability to demonstrate compassion and caring in dealing with others Ability to maintain confidentiality Ability to work independently and excel as part of a team Ability to project and maintain a professional image Excellent customer service skills Proficient computer skills and knowledge of electronic medical records PHYSICAL DEMANDS / WORK ENVIRONMENT Direct patient care related to office visits and procedures Walks frequently May be required to sit or stand for extended periods of time Risk of exposure to hazardous conditions and blood borne pathogens Occasional reaching, twisting, bending Daily operation of various office equipment: fax machine, telephone & voice mail system, stationary/lap top computer, dictation machine, scanner, e-mail system, cell phone, and copier Lifting up to 20 pounds occasionally, and/or up to 10 pounds frequently Light lifting of paperwork, folders or other general record-keeping materials BENEFITS Health Insurance (80% company paid) Health Savings Account (Company Match: $3,000 family plan / $1625 individual plan) Dental & Vision Insurance Plans 401(k) Match and Profit-Sharing Plan Life and Accidental Death and Dismemberment Insurance (company paid) Long-term Disability Insurance (company paid) Short-term Disability Insurance (company paid) Generous paid time off Voluntary, Employee-Paid Benefits Medical Reimbursement Plan Dependent Care Plan Powered by JazzHR
