Title: Facilities and Maintenance Coordinator Salary: $55,000 - $68,000 Role Summary: NYC Outward Bound Schools is seeking a dedicated full-time, non-exempt Facilities and Maintenance Associate to join our Crew! In this exciting role, you will oversee facility management, building operations, and the maintenance of our vehicle fleet, which includes two 15-passenger vans and two minivans. We are looking for a candidate with a strong background in facility management, a solid understanding of vehicle maintenance, and a willingness to step in as a backup driver occasionally. In addition to these responsibilities, you will also provide office management support, including ordering supplies and distributing office mail onsite. Safety awareness is of utmost importance in this position, and effective communication skills are essential. You should be prepared for occasional "on-call" responsibilities. Facilities Manager Essential Functions: Facility Maintenance and Oversight (70%) Manages general building maintenance tasks, inspections, and safe building operations, such as Inspecting fire extinguishers and emergency lights. Completes routine maintenance and basic repairs as needed, including but not limited to: Changing light bulbs and ballasts Changing door locksets and keys, electronic locks Bleeding radiators Fixing leaks in faucets and toilets, sink valves, and drains. Changing filters Fixing desk drawers/cabinets Painting walls Repairing drywall Repairing ceiling tiles Replacing pipe insulation Patching the roof Secures and manages outside contractors for scheduled maintenance, scheduled inspections, and periodic repairs. Ensures that the building is maintained to high standards of cleanliness, professional appearance, and safety. Coordinates work contracted housekeeping staff and collaborates with 2nd and 3rd-floor tenants on support for building-related issues. Identifies potential building-related capital needs and improvements, collaborates with leadership on determining capital priorities, and works with contractors to carry out capital projects. Vehicle Fleet Management (15%) Manages the vehicle fleet, which involves facilitating the purchase and sale of vehicles, providing general regular maintenance, scheduling appointments for vehicle inspection and repair as needed, and coordinating vehicle use with the Logistics Manager. Serves as a backup driver, entailing occasional driving to and from program sites in NYC and to and from our outdoor adventure site in Fishkill, NY. Office and Supplies Management (15%) Procures and maintains an inventory of housekeeping cleaning supplies, building supplies, spare parts, and tools for promptly repairing building systems. Procures and maintains the inventory of general office supplies. Manages the front door (with a mobile phone app) and ensures secure access to the building with visitor's access when appropriate. Administers a system for signing out and returning keys as required for staff to access locked areas of the building. Minimum Qualifications: Demonstrated commitment to educational equity for BIPOC youth, actively supporting anti-racist initiatives. Consistently embodies our core values: community, courage, equity, integrity, and a passion for learning. Demonstrates 3-5 years of experience in facilities maintenance or equivalent related functions. Proficiency in building systems (plumbing, HVAC, electrical, doors and locks, fire sprinklers, and alarm systems) and vehicle maintenance Strong communication and collaboration abilities, promoting creative teamwork for shared goals. Excellent time management skills to ensure that projects are completed on time. Excellent driving record, current driver’s license, and confidence in operating 15-passenger vehicles. Flexibility to work weekends, early mornings, and late evenings. Ability to pass all required criminal background checks.
