This role is meant to function as the Community Manager in their absence, and must have good working knowledge of all aspects of community operations, goals, critical milestones, and deadlines. What You Will Do Leadership and Staff Management: Support in managing all community staff, ensuring optimal team performance and fostering their professional development Build relationships and trust amongst all team members, fostering a culture of inclusivity across all community departments Financial Processes & Vendor Relations: Responsible for preparing monthly variance report and providing all explanations on variances to the operating budget Work closely with accounting to ensure accurate financial statements, providing accurate accruals and coding of all property expenses. Has a keen understanding of accrual policy, capex policy, and all accounting-related policies Monitors property financial performance and collaborates with Community Manager and Community Engineering manager to assess performance and identify areas for improvement Responsible for tracking all expenses related to the property. This includes maintenance costs, utility bills, property taxes, insurance, and any other costs, and ensures invoices are received and submitted in a timely manner Oversees the process for damage inspections, and ensures all damages are well documented, photographed, charged to the resident's ledger, and communicated timely and in accordance with state law Oversees FMO process to ensure security deposits are assessed and applied to the resident's final statement and distributed in accordance with state and local law Cultivates and maintains positive vendor relationships, ensures that all vendors are paid on time by maintaining a timely process for the review, and submission of all invoices Rent collection: Efficiently manages rent collection from residents, and maintains average delinquency below 1% Ensures updated and accurate records of each tenant's account in Entrata, and notates all critical information in the resident's account in Entrata Leverages tools and resources available to automate delinquency process, including but not limited to Entrata and Eliseai Has a keen understanding of company policy as it relates to managing the delinquency process, including write offs Posts notices and evictions in accordance with state and local law Fosters positive resident relationships, maintains professionalism even when having difficult conversations Marketing and Leasing: Formulate leasing and marketing strategy and works closely with internal and external partners on execution of all marketing initiatives Assist in leasing and marketing efforts to attract new tenants, including giving tours of the property, and managing the leasing process Regularly reviews sales traffic, understanding traffic needs, main objections to lease, and ensures updated notes in Entrata Regularly reviews key sales metrics including traffic to lead conversation rate, lead to tour conversation rate, and tour to lease conversion rate Leverages tools and resources to automate the leasing process, including but not limited to Entrata, Eliseai, and Rently self-guided tours Compliance and Standards: Ensure compliance with all company policies, procedures, and legal requirements Uphold brand and company standards, ensuring that the property is consistently presented in an exceptional manner Special Projects and Reporting: Collaborates with the on special projects and assignments Complete all assigned HR/People Operations-related tasks. Other: Must be able to work a full shift / required work schedule Must be available for additional hours including evenings, weekends, and overtime when necessary Ideally, you'll have College degree preferred or equivalent work experience 2+ years of experience in property management or related fields Strong financial management and understanding of accounting principles Robust communication skill set and ability to build strong relationships Proven ability to lead and manage a team effectively Strong interpersonal skills to build trust and inclusivity among team members Demonstrated commitment to fostering professional development among staff Thorough knowledge of company policies, procedures, and legal requirements, ensuring strict compliance. Commitment to upholding brand and company standards for property presentation.
