GENERAL SUMMARYProvides administrative support for attorneys at the Clients’ Security Board (CSB or Board).ESSENTIAL JOB FUNCTIONSPrepares and formats memoranda, exhibits, correspondence, and other legal documents.Handles routine requests and matters for the CSB including, but not limited to, filing, typing, scanning, scheduling, screening calls and managing calendars.Follows established rules and procedures in responding to requests from Board members, BBO and OBC staff, and general public and redirects items as necessary to appropriate staff members.Assists in implementing and maintaining document management system, including the entry and maintenance of claim information, documents, and calendar events and deadlines.Coordinates, compiles, and distributes materials for monthly Board meetings.Proofreads documents.Compiles annual statistics and assists in preparing annual reports for the CSB.Prepares statistical and other reports on claims, awards, restitution, and other ongoing matters.In addition, may perform one or more of the following functions for the CSB:Drafts and issues subpoenas and tracks response dates.Serves as liaison for updates and revisions to the CSB website.Prepares check requests, transfer requests and monthly fund statements.Handles bank deposits and maintains restitution records and information.Schedules hearings, appointments, and meetings.Plans monthly Board meetings, yearly Board dinner and other special events.OTHER DUTIES AND RESPONSIBILITIES Performs additional duties as assigned. PREPARATION, KNOWLEDGE, SKILLS & ABILITIES High school diploma. Minimum five years’ prior legal secretarial experience. Strong knowledge of word processing software. Strong data entry skills. Strong organizational skills. Ability to maintain the highest level of confidentiality. Ability to prioritize and work well independently. Attention to detail. SUPERVISORY RESPONSIBILITY No supervisory responsibility. WORKING CONDITIONS/PHYSICAL DEMANDS Normal office working conditions including frequent sitting and computer monitor use. SALARY AND BENEFITS The Legal Administrative Specialist’s salary and benefits are the subject of the collectively bargained agreement between The Board of Bar Overseers of the Supreme Judicial Court (Employer) and the Office and Professional Employees International Union Local 6, AFL-CIO (Union), July 1, 2021 - June 30, 2024. The salary range for this position minimum is $52,733.10 and the maximum is $90,311.91 with the Step 5 midpoint being $66,026.43. New employees typically begin at or near the minimum step and proceed through a series of collectively bargained steps followed by salary adjustments. The BBO Offices are presently located at 99 High Street, Boston, MA. Requests for alternative regular work schedules and remote work schedules will be considered.
