NATURE OF WORK: The Dental Clinic Scheduler is a high-level dental clinic and administrative support position responsible for oversight of all dental clinic-scheduling needs and prioritization of care of all dental clinic patient calls. This position is responsible for the coordination of all Nisqually Health Center Dental clinic provider and patient scheduling needs. This position is responsible for quickly and accurately assessing patient needs and scheduling patient appointments accordingly. This position requires a high level of skill, dental clinic knowledge and experience, responsibility, and communication. DUTIES AND RESPONSIBILITIES: Assess all incoming dental clinic patient calls for emergent and urgent needs. Identify and refer patients requiring urgent or emergency care to appropriate dental staff and other callers to appropriate health department programs. Schedule patient appointments for the Nisqually Tribe Dental Clinic according to need, urgency, emergent need and clinic priorities. Create and maintain all provider, nurse and Dental Assistant schedules on a weekly basis, coordinate and work with clinic staff for leave, training, and other scheduling change requests. Maintain patient appointment system, confirm and reschedule all patient appointments. Review patient registration information to ensure it is up to date for eligibility and insurance/billing purposes; make updates to the system as needed or report changes to the appropriate Registration staff as needed. Assist the department with quality assurance and performance improvement with clerical functions, data collection and retrieval of data for regular reporting as requested. Create, maintain and update desk manuals for both electronic patient scheduling and clinic provider scheduling. Cross-train other Dental staff in scheduling, patient interactions, clinic scheduling and phone triage as needed. Perform regular program, staffing and process reviews to assess the needs of the program and recommend policy and procedural changes as needed. Perform complex administrative functions to assist with the flow of program operations. Act as point of contact for phone inquiries and maintain a high level of program process knowledge in order to route calls and assist with requests. Follow HIPAA compliance, CFR 42 Part 2, and all other applicable confidentiality rules and laws to maintain the highest level of client confidentiality at all times. Support E.D.R. patient activity center adjustments in communicating impacts to scheduled patient appointments and clinic flow. Perform other duties as assigned. KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of Native American customs, traditions and culture. Knowledge of HIPAA and other laws, rules, and regulations related to security and confidentiality of data. Knowledge of Nisqually Tribe and I.H.S. patient eligibility criteria and skill in utilizing to schedule appointments accordingly. Knowledge of Health Department programs, services and staff, as well as outside resources. Knowledge of Dental Terminology. Knowledge of Electronic Health Record Systems. Knowledge of commonly used concepts, practices and procedures within the ambulatory health care field. Knowledge of administrative procedures and practices. Knowledge of standard office equipment, including the computer, scanner, multi-line phone system, etc. Knowledge and proficiency in office related computer software such as MS Office Suite including Outlook, Word, Excel and Power Point. Knowledge and skill in patient interviewing techniques and effective communication. Knowledge in reviewing patient demographics and insurance information to be able to update as needed. Skill in de-escalation techniques. Skill in interpersonal communication. Skill in communication with patients and staff who may be stressed, feeling unwell, or unhappy. Skill in training other staff to provide scheduling coverage at all times. Ability to maintain the highest level of confidentiality. Ability to quickly and accurately provide assistance over the phone and in-person to clinic patients, clients, and other people on a regular basis. Ability to effectively prioritize multiple priorities. Ability to identify urgent / non urgent appointment needs and schedule according to clinic rules and priorities. Ability to establish and maintain effective working relationships. Ability to communicate effectively, both orally and in writing. Ability to understand and follow written policies, procedures and guidelines. Ability to interact professionally with patients, providers, co-workers, and other visitors. Able to act calmly and rationally in an emergency situation. Ability to effectively work in a fast paced environment with constant interruptions. Ability to be reliable, dependable, organized and efficient. MINIMUM QUALIFICATIONS: High School Diploma or GED . 3 years' recent related work in a dental care setting AND 3 years' recent experience working as a certified Dental Assistant.
