Job Summary The Executive Assistant (EA) is responsible for performing administrative tasks in support of Travis Association for the Blind (TAB)'s executives. This position will report to the Chief Executive Officer or another member of the Executive Staff. Responsibilities Performs administrative tasks as assigned in support of TAB executives. Sorts and distributes incoming mail; ensures appropriate amount of office supplies on hand; ensures maintenance of office equipment; oversees appropriate office set-up for new executives Prepares correspondence; types or edits letters, emails, memos and other correspondence. Creates or edits PowerPoint presentations and Excel spreadsheets; assists executives with expense reports Manages executives' calendars as needed, schedules meetings, prepares agendas and presentations, orders meals as appropriate, operates audio-visual systems during meetings, records and distributes meeting notes or minutes Schedules and coordinates events, board meetings, conferences, and executive team retreats. Assists CEO in preparation for board and committee meetings. Assists executives with travel arrangements; schedules flights, makes hotel reservations and coordinates out-of-town meetings or virtual meetings using Microsoft Teams or Zoom Provides administrative support for projects. Schedules and prepares for project team meetings, conducts research as required, documents key decisions and action items during meetings, and maintains project documentation as required May supervise or oversee day-to-day tasks of other administrative staff/receptionists Assists with the development and distribution of Public Relations and internal communications materials, including brochures, pamphlets, newsletters, announcements and videos Edits and proofreads social media content, videos, press releases, emails, and other communications about the Austin Lighthouse that will be sent to the public Provides assistance to Mission Delivery department with invoicing TWC/ICC for services provided Assists Mission Delivery department with Sensitivity Training in the community, as well as for TAB employees Complies with and assists other employees in understanding and complying with TAB's policies and procedures Behaves in accordance with the key behaviors aligned with TAB's Core Values of Leadership, Integrity, Growth & Innovation, Heart and Teamwork (LIGHT). Minimum Education and Experience High School diploma Associate's or bachelor's degree preferred Minimum of 5 years' experience in an executive administrative role Advanced knowledge in software packages, (Microsoft Office, Salesforce, etc.) Supervisory experience is a plus Knowledge, Skills and Abilities Strong communications, collaboration, and interpersonal skills. Excellent organizational skills, an eye for detail, and the ability to work well with people at all levels within the company or organization required Strong written and oral communication skills. Good spelling and grammar skills and mastery of word processing, database, and presentation software required. Ability to multi-task in order to manage multiple projects at a time; use discernment regarding which tasks are truly urgent and which can wait. Must be mission-driven and able to work with all departments within TAB in order to be effective. Excellent time management skills to manage high volume in a fast-paced environment. Must be team & people-oriented, professional, poised, and display a "can-do" attitude. Strong decision-making and problem-solving skills Strong ethics and discretion with confidential or sensitive information Able to read, comprehend and understand information/ideas presented in writing or alternative form Possesses cultural awareness and sensitivity Supervisory Responsibility None, currently Communication & Contacts Required Employees, departments, managers, executives, vendors, community members Decision Making/Judgment Required Makes decisions as per Standard Operation Procedures and Company Policies Physical Requirements With or without reasonable accommodation, employees in this position must be able to: Handle prolonged periods of working on a computer Demonstrate the ability to be in a stationary position (stand, sit, etc.) for 6-8 hours Demonstrate the ability to lift/move up to 5 lbs. at times Demonstrate the ability to bend, stoop, squat, adjust position for 10% of time Have the ability to work in an office environment with standard lighting, noise levels, temperature NOTE: This position does not qualify as a hybrid or remote work position.
