The Assistant Director serves as a member of the enrollment management team and serves as the primary planner and facilitator of events hosted by the Office of Admission and the Campus Visit Experience. This position will implement existing programs and events, coordinate and support growing virtual programming opportunities offered by the division. ESSENTIAL DUTIES AND RESPONSIBILITIES : Contributes to the development of the enrollment visits and events strategic plan and ensures proper coordination of all aspects with undergraduate and graduate recruitment. Assists in coordination of the Campus Visit Experience for all student populations. Coordinates on-campus admission special events to include Sleeping Bag Weekend, showcase events, open houses, admitted student receptions, and other events as necessary. Supports in the coordination of group tours for high school and VIP groups. Coordinates training, scheduling, and recognition as needed. Ensures proper scheduling of campus tour program for weekend and evening campus visits. Manages the functions of the enrollment management staff at these special events. Evaluates program effectiveness, assess outcomes, complete cost analyses and develop improved programming to achieve goals through attendance surveys and other forms of data collection. Creates and utilizes visit data for continuous improvement of all programming under their direction. Manages annual budgets related to events and programming under their direction. Manages social media platform (ZeeMee) in support of Admission and Enrollment Management objectives. Works to implement virtual programming in support of admission and enrollment management goals. Serves as liaison to academic units for specific programming and visits where appropriate and in strategic alignment with university goals. Engages in training and development of all Enrollment Management Division staff members in delivery of excellent customer service and programming needs. Performs other duties as assigned. QUALIFICATIONS: Bachelor's degree from an accredited college or university; Master's degree preferred. Must have 3-5 years of previous admission, student services, public relations, event management, sales or related professional experience. Must clear and maintain a favorable background investigation and clearance Must have valid driver's license, motor vehicle liability insurance and personal injury insurance; or have a self-reliant source of transportation to conduct business on a daily basis Must be able to travel and work extended hours or weekends during peak times and for special programs, projects, and events. Must have the ability to demonstrate intermediate to advanced skills in MS Office and Office 365 (Word, Excel, Teams, Outlook and PowerPoint) including experience with virtual platforms such as Zoom; Experience in Technolutions, Slate CRM and Banner software is preferred Must have excellent verbal and written communication skills. Strong public relations and customer service skills with an ability to implement diplomacy and discretion at all times; an ability to work effectively with communities across the university; Highly responsive to the needs of others. Must have a high ethical standard and a strong sense of confidentiality; ability to prioritize and manage multiple deadlines; thrive in a complex work environment; displays solid problem solving and interpersonal skills; works well independently and as part of a team. Must have ability to demonstrate strong analytical skills, attention to detail and be able to organize workflow, coordinate activities, balance simultaneous projects without loss of efficiency in a multi-tasked environment, and manage multiple priorities to meet deadlines Understanding of the St. Mary's culture and ability to represent and communicate the university mission to prospective students and families is preferred. Bilingual Preferred (English/Spanish with the ability to understand and to make one's self understood to Spanish speaking individuals). PHYSICAL DEMANDS: Working conditions are in an office environment and university campus setting. Must be able to move across the university campus to conduct day to day business. While performing this role, the employee will be regularly required to sit, walk, and stand; talk and hear, both in person and by telephone; and use hands repetitively to operate standard office equipment; and occasionally required to lift up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus. Frequently communicates with others using approved technological resources; must be able to exchange accurate information through designated systems within a timely manner. Constantly operates a computer and other office productivity machinery.
